Job description

A one-lawyer firm in downtown Pensacola seeks a Client Intake Coordinator and/or Client Intake Assistant with strong communication, interpersonal, and organizational skills. The firm specializes in representing disabled individuals and assisting them with their claims for disability benefits.

This role is an important first point of contact for our clients. You will help gather key information, build trust with potential clients. You will play an important role in ensuring that our lead intake paralegal and attorney have what they need to review incoming prospective client calls and cases. You’ll further play a vital role in creating a supportive experience for individuals navigating challenging times.

Duties include, but are not limited to:

  • Answering calls and emails from prospective clients in a professional, compassionate manner
  • Gathering initial client information and documenting details accurately
  • Scheduling consultations and keeping the calendar updated
  • Assisting clients in completing intake forms and collecting necessary paperwork
  • Entering client data into case management systems
  • Following up with potential clients to ensure all required information is received
  • Organizing intake files and preparing them for paralegal/attorney review
  • Coordinating with the paralegal to transition new clients smoothly into case management
  • Maintaining client confidentiality and professionalism at all times

The job requires someone with:

  • Excellent listening skills and the ability to communicate with empathy and patience
  • A friendly, reassuring phone presence
  • Strong organizational skills and attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • Proficiency with word processing and basic computer programs
  • Comfort working closely with both clients and legal staff
  • Ability to remain calm and professional when assisting people under stress

Prior customer service or office experience is preferred; legal or disability law experience is a plus but not required. An associate’s degree or relevant experience is helpful.
