Job description

About the Project:

The Eglinton Crosstown West Extension will bring the Eglinton Crosstown LRT another 9.2 kilometers farther west, creating a continuous rapid transit line from the east end of Toronto into Mississauga. The Stations, Rail, and Systems (SRS) package encompasses the design, construction, integration, and commissioning of key project components.


Position Overview:

TRP has a current vacancy for a Delivery & Integration Coordinator who will support the administration of the project governance framework by providing governance assurance across Working Groups, monitoring governance discipline, and maintaining centralized governance registers and trackers to support structured project oversight. Also supports the delivery of the Project, specifically managing the overall delivery, including the respective processes, of all Works Submittals.

Key Responsibilities:


Working Group Governance Assurance

  • Attend assigned Working Group meetings to monitor adherence to the project governance framework.
  • Coordinate with Working Group Co-Chairs to ensure governance requirements are met, including the timely circulation of Meeting Minutes prior to subsequent meetings.
  • Ensure Working Group discussions produce documented decisions, assigned actions, and clearly defined outcomes.
  • Identify gaps in governance documentation or meeting discipline and coordinate with Working Group leadership to resolve them.

Governance Register & Tracker Management

  • Maintain centralized governance trackers used by the Delivery & Governance Department, including:

- Action Registers
- Decision Logs
- Escalation Register

  • Monitor Working Group Action Registers to ensure actions are progressing toward closure.
  • Ensure governance registers remain accurate through coordination with Working Group Co-Chairs and project teams.
  • Support preparation of governance reports used to provide leadership with visibility into project issues and risks.

Escalation Pathway Support

  • Monitor Working Group discussions and governance registers to identify issues that may require escalation through the governance structure.
  • Coordinate with the Delivery & Governance Specialist and Working Group Co-Chairs to escalate issues when resolution cannot be achieved at the Working Group level.
  • Update and maintain the centralized Escalation Register.


Milestone & Performance Governance Support

  • Maintain the Master Package List and Submittal Tracker used to monitor milestone readiness.
  • Track submission status, review progress, and approval outcomes for Works Submittals.
  • Identify submittal delays or unresolved review cycles that may impact Lockdown or CheckPoint readiness.
  • Support the collection and consolidation of performance data used in the Performance Dashboard.

Working Group Coverage & Reporting

  • Each Coordinator will be assigned responsibility for a defined group of Working Groups.
  • Responsibilities include attending meetings, monitoring governance discipline, and ensuring governance outputs are maintained across assigned groups.
  • Provide regular updates to the Delivery & Governance Specialist on governance performance across assigned Working Groups.


Qualifications:

  • Strong organizational and coordination skills with an ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office (Excel, Teams, Word, PowerPoint).
  • Proficiency in PowerBI and SQL is considered an asset
  • Strong attention to detail and an interest in structured processes or governance frameworks.
  • Ability to collaborate with team members and communicate clearly.
  • Willingness to learn project governance, reporting tools, and workflow management systems.
  • Willingness to learn about overall Project Delivery
