Job description

Friends University is seeking to fill the Library Assistant - ILL and Circulation Manager position in Wichita Kansas. This position will serve library patron's needs in a cooperative, efficient, and informed manner that enhances their experience at the library and connects them to important library resources and services; to circulate library materials, manage patron records, process interlibrary loan and document delivery requests, and assist in maintaining the library’s collections and spaces. Manages Circulation Department in the evenings (Monday through Thursday) and on Sundays.  Jointly hires, trains, and supervises Library student workers with the Day Circulation Librarian. Work hours are typically 1:00 pm to 10:00 pm Monday through Thursday and Sunday from 1:00 pm to 10:00 pm during the fall and spring semesters.  Intersession and summer work hours are generally 8:00 am to 5:00 pm Monday through Friday. 

Responsibilities include:

  • Staffs and manages Circulation desk activities in the evenings (Monday through Thursday) and on Sundays. Assists library visitors in the use of resources, internet access, copiers, and printers. Collects fines, reconciles circulation cash box receipts, and places and removes holds on student records for delinquent fees or fines. 
  • Schedules Library rooms using the Astra system.  
  • Coordinates the Library’s opening procedures on Sundays and closing procedures in the evenings to secure the Library.  
  • Hires, supervises, trains, and assists in scheduling student workers at the Circulation Desk.  Instructs student workers in Circulation duties and assigned tasks, including communicating with patrons, registering and updating patron records, answering phones, shelf reading, supporting interlibrary loan and document delivery services, undertaking catalog searches and room and door counts, checking library materials in and out, and assisting with book displays, signs, and the preparation and set-up for library special projects and events.  
  • Actively participates in developing and implementing circulation policies and procedures.  Serves as a building captain and point of contact for security and emergency situations arising during evening and Sunday shifts.
  • Processes interlibrary loan and document delivery requests, including shipping and receiving materials and maintaining records, statistics, required reports, and relationships with lending institutions and courier services.

At least two years’ experience in a library setting preferred. Experience in and knowledge of office equipment and software required. Some experience in library systems preferred. 

Bachelor’s degree required, Masters of Library Science degree preferred.

Excellent written, oral and strong interpersonal communication skills are required. 

Computer proficiency and the ability to maintain confidential information in a professional manner is required. Specific experience in library office equipment and computer software (databases, internet applications, library management systems, and interlibrary loan systems) preferred. The work is generally sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and moving or carrying of light items. No special physical demands are required to perform the work.
