Job Overview

We are seeking a dedicated and organized Church Secretary to serve as the administrative backbone of our church community. In this vital role, you will manage daily office operations, coordinate communication between staff and congregation, and ensure that all administrative functions run smoothly. Your energetic approach and attention to detail will help foster a welcoming environment for visitors and members alike. This paid position offers an opportunity to contribute meaningfully to our church’s mission while utilizing your office management skills in a dynamic setting.

Responsibilities

Serve as the first point of contact by answering the phone with professionalism and courtesy, providing excellent customer service and support to visitors, congregation members, volunteers and staff.

Manage front desk operations, including greeting visitors, handling inquiries, and directing individuals to appropriate departments, resources or personnel.

Maintain accurate records through data entry, filing, and document proofreading to ensure all church records are current and organized.

Oversee calendar management for church events, meetings, and appointments using church calendar, ensuring scheduling conflicts are minimized.

Handle bookkeeping tasks using ChurchPro accounting software, including tracking donations, expenses, and financial reports.

Support office management duties such as managing confidential information with discretion, organizing office supplies, and maintaining a clean and efficient workspace.

Assist with clerical tasks such as typing correspondence, proofreading documents, managing email communications, and supporting personal assistant functions for staff members.

Coordinate communication efforts by preparing weekly bulletins and announcements for the congregation while ensuring clarity and accuracy.

Utilize strong organizational skills to support event planning logistics and ensure timely execution of church programs. This will require some cash handling.

Experience

Prior office experience in a clerical or administrative role is required; experience in a church or non-profit environment is preferred.

Proficiency with Microsoft Office Suite (Word, Excel, Outlook) along with computer literacy is helpful for daily tasks.

Familiarity with ChurchPro or similar bookkeeping software is highly desirable for managing financial records accurately.
