About the role
This role is the Assistant to the Executive Director of Operations role at Christ Covenant. The role exists to support and advance the initiative of the Executive Director of Operations by coordinating projects, facilitating communication and processes, and providing operational and administrative support that enables the operations and finance functions of the church effectively. Below are expectations that this position will be responsible for and accountable for.
What you'll do
Executive Support
  • Manage a complex and dynamic calendar, including scheduling internal and external meetings, board sessions, and special project meetings.
  • Manage the Executive Director of Operation's key projects, timelines, and follow-through to help advance operational objectives.

Operations and Finance Coordination
  • Support core financial processes, including expense report reconciliation, invoice approvals, budget tracking, and coordination of financial reports.
  • Assist with preparation and distribution of committee decks, members meeting data, operational KPIs, P&L reviews, and variance analyses.
  • Track and follow up on action items from leadership, finance, and operations meetings; maintain shared project dashboards and ensure accountability across teams.
  • Coordinate with Finance, Accounting, and Operations teams on ad-hoc requests such as data compilation for audits, contract reviews, insurance renewals, or vendor management.

Departmental Support for Directors & Managers
  • Provide administrative and operational support to Directors and Managers within the Operations and Finance departments, acting as a shared resource for the broader team.
  • Manage scheduling and coordination of interviews for open roles across the organization, including recruiter coordination, candidate communication, interview panel scheduling, preparation of interview packets, and follow-up.

Administrative & Project Excellence
  • Maintain highly organized digital filing systems for contracts, financial documents, board records, and operational files.
  • Process and reconcile expense reports, corporate credit card transactions, and reimbursements with high accuracy and timeliness.
  • Provide backup support for broader Operations or Finance team administrative needs during peak periods (e.g., year-end close, budget season, or audits).
  • Lead or contribute to special projects, such as process improvements, or system implementations (e.g., new collaboration or reporting tools).

Qualifications
  • Bachelor's degree in Business Administration, Finance, Communications, or a related field (or equivalent professional experience).
  • Experience as an Executive Assistant, preferably directly supporting a C-level executive
  • Proven background in fast-paced work environments with a flexible mindset toward initiatives.
