Church Administrator - Episcopal Church of St. John the Baptist

The Episcopal Church of St. John the Baptist seeks a Parish Administrator who will be responsible for managing and coordinating our church’s daily operations, in support of the mission and vision of the Church and our parish.

This role serves as the primary point of contact for matters of administrative and facility management, ensuring that day-to-day operations run seamlessly and safely. The Church Administrator will report directly to, and work closely with, the priest. This individual will act as a liaison among various church leadership groups, manage church resources efficiently, and maintain an organized environment conducive to the values and core-beliefs central to Episcopal worship and fellowship.

As Parish Administrator, you will be the organizational heartbeat of our church. From coordinating events and activities to managing communications, you will be the bridge between our clergy, staff, volunteers, and the community we serve.

Key Responsibilities:

  • Oversee the daily operations of the church office, ensuring a welcoming environment for congregants and visitors.
  • Coordinate internal and external communications, including weekly bulletins, newsletters, church-wide emails, website updates, and social media.
  • Maintain the master church calendar to coordinate facility usage for weddings, funerals and all other scheduled ministry and facility events.
  • Assist in the preparation of worship materials and programs.
  • Support clergy and ministry leaders with logistics, materials, and volunteer coordination.
  • Respond to in-person and telephone inquiries.
  • Oversee church financial records in collaboration with the finance team, bookkeeper, and counters.
  • Maintain accurate church records, including member databases, attendance metrics, and directories.
  • Oversee the maintenance and security of church buildings and grounds, in coordination with the Buildings and Grounds Committee, church staff and leadership.
  • Coordinate the activities of the janitorial staff, landscaping services, and other external service providers along with maintaining custodial and office supply inventory.
  • Manage facility rentals ensuring that the proper contracts, insurance certificates, and fees are collected.
  • Manage the handling and security of confidential information with discretion and integrity.

A Strong Applicant Will Have:

  • Proven administrative office management experience. Church administration experience is a plus.
  • Exceptional organizational, multi-tasking, time management, and problem-solving skills.
  • Strong written and verbal communication skills.
  • Proficiency with office software, including Microsoft Office, Google Workspace, and database systems.
  • Proficiency in social media and web tools.
  • Social Media Management — Skilled in creating, scheduling, and optimizing content across social media platforms (e.g. Facebook, Instagram, YouTube)
  • Website Management — Capable of updating and maintaining websites.
  • Basic Graphic Design — Able to create social-ready visuals.
  • Strong interpersonal skills and the capacity to work collaboratively with others.
