About Bethany Christian Academy

Bethany Christian Academy is a Christ-centered private school dedicated to developing students academically, spiritually, socially, and emotionally. Our mission is to partner with families to prepare students to become lifelong learners and servant leaders who impact their communities for Christ.

We are seeking an organized, energetic, and mission-driven School Coordinator to serve as a key member of our administrative team. This individual will help oversee daily school operations, support staff and families, and ensure the smooth functioning of the campus.

Position Summary

The School Coordinator provides administrative and operational leadership to support the Principal and school leadership team. This position serves as a liaison between students, parents, faculty, and community partners while helping to maintain a positive, safe, and productive learning environment.

The ideal candidate is highly organized, professional, technology-savvy, and passionate about Christian education.

Essential Duties and Responsibilities

Administrative Leadership

  • Assist the Principal with the daily operations of the school.
  • Coordinate school activities, meetings, and special events.
  • Maintain school calendars and schedules.
  • Prepare reports, correspondence, and official communications.
  • Support accreditation and compliance initiatives.

Student & Family Support

  • Serve as a primary point of contact for parents and visitors.
  • Assist with student enrollment and registration processes.
  • Address parent concerns and direct them to appropriate personnel.
  • Coordinate student records and confidential documentation.

Staff Support

  • Assist with staff scheduling and substitute teacher coordination.
  • Support onboarding and orientation of new employees.
  • Coordinate professional development activities.
  • Monitor staff attendance and maintain personnel files.

Operations Management

  • Oversee front office operations and daily campus logistics.
  • Coordinate transportation, field trips, and school events.
  • Assist with emergency preparedness and safety procedures.
  • Manage inventory and ordering of office and classroom supplies.

Technology & Data Management

  • Maintain student information systems and digital records.
  • Support FACTS SIS and other educational platforms.
  • Generate attendance, enrollment, and academic reports.
  • Assist families and staff with technology-related needs.

Communication & Community Relations

  • Prepare newsletters and school announcements.
  • Coordinate social media and marketing initiatives.
  • Build positive relationships with families and community partners.
  • Represent the school professionally during events and meetings.

Qualifications

Required

  • Associate’s or Bachelor’s degree preferred.
  • Minimum of 2 years of administrative or school office experience.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office and Google Workspace.
  • Ability to maintain confidentiality and professionalism.
  • Strong problem-solving and customer service skills.

Preferred

  • Experience in a private or Christian school setting.
  • Familiarity with FACTS Student Information System.
  • Experience with enrollment management and school operations.
  • Bilingual (English/Spanish or English/Creole) is a plus.
