Job description

OVERVIEW:  The Event Coordinator is a crucial member of the Philanthropy team and is responsible for overseeing and implementing a comprehensive portfolio of fundraising events to support the mission of the Sacramento Children’s Home. The Event Coordinator works closely with the Director of Philanthropy to ensure that the Philanthropy team meets event & department goals. This position reports to the Director of Philanthropy.

DUTIES:

(90%) Event Coordination

  • Work closely with the Volunteer Coordinator to identify and train volunteers for various SCH & third-party events.
  • Maintain relationships with community groups & third-party event sponsors.
  • Represent agency at meetings, presentations and at some community events and meetings.
  • Write event related content for newsletters and agency web site as needed.
  • Attend bi-weekly staff meetings.
  • Perform other duties as assigned.

(10%) Outreach & Other Duties

  • Oversee the planning, logistics and day of implementation of several SCH events, including, but not limited to the Crab Feed and Spring Garden Party and Brunch; work closely with third-party partners, such as the Rotary Club of Sacramento, PINC and Friends of the Crisis Nursery, to support events including but not limited to the Sac Century Challenge, Luxe for Life and Fall Festival
  • Play a key role in supporting future events or additional third-party events that support SCH.
  • Coordinate all logistics of SCH’s signature events including researching event venues, identifying, vetting, working with vendors, getting contracts signed and ensuring day of event logistics are successfully carried out.
  • Oversee the day of event implementation including overseeing volunteers, ensuring event is on timeline, speakers are prepared, AV is functioning and all processes are carried out as planned.
  • Assist Director of Philanthropy with sponsorship outreach and oversee follow up with confirmed event sponsors, including carrying out sponsorship benefits, gathering guest names, sponsor logos, etc.
  • Work with the Marketing and Development Manager on event marketing and promotions to ensure all SCH events are properly promoted in the community.
  • Ensure a positive event experience for all event attendees including working with the Donor Relations Coordinator to coordinate the check-in and check out process for all events to ensure the process is smooth and well implemented.
  • Oversee solicitation of auction donations for silent and live auctions and work with the Director of Philanthropy on strategy for auctions and fund a need activities for all SCH events.
  • Oversee all post event follow-up procedures, including attendee follow-up and acknowledgement, invoice payment, auction follow-up, etc.
  • Provide a post event debrief with notes on what went well, what needs improvement and how we should consider changing events moving forward after all events.
  • Work with the Director of Philanthropy to identify new event opportunities.

LOCATION:   2750 Sutterville Rd. Sacramento, CA 95820

SCHEDULE:   Monday – Friday, 8:30 am – 5:00 pm; some weekends as needed.

SALARY:         $27.00 - $30.37 per hour, to start

Education and Experience: 

A Bachelor’s degree in Public Relations, Communications, Marketing, or a related field, or the equivalent combination of education and experience is preferred.

At least 2 years of previous experience of coordinating events or demonstrated employment history in a related position is preferred. Previous event coordination, fundraising, or public relations experience is preferred.

Driving is an essential function of this job. As such, employees in this position will be required to furnish their own vehicle to be used in the course of employment. A valid driver’s license and minimum insurance coverage is required.

Must be at least 21 years old.

  • Ability to read, write, speak, and understand the English language.

  • Ability to establish and maintain effective relationships with key stakeholders, including vendors, sponsors, volunteers, and Board members.
  • Advanced level skill with Microsoft Word, Excel, and Outlook.
  • Ability to manage multiple tasks simultaneously and efficiently.
  • Ability to work nights, weekends and outside of a normal work schedule as needed.
  • Ability to report to work on a regular and reliable basis.
  • Excellent verbal and written communication skills.
  • Strong problem-solving skills.
  • Ability to oversee volunteers.
