Position Summary

The Sales Executive Meeting Manager serves as the primary contact for clients after contracts are executed, ensuring all meeting and event details are planned, communicated, and executed flawlessly. This position manages corporate meetings, conferences, retreats, and group events from turnover through completion while partnering closely with resort departments to deliver exceptional service and maximize client satisfaction.

The ideal candidate is highly organized, detail-oriented, thrives in a fast-paced hospitality environment, and is passionate about creating memorable experiences.

Essential ResponsibilitiesEvent & Meeting Planning
  • Manage assigned group business from contract turnover through post-event follow-up.

  • Conduct planning meetings with clients to finalize meeting agendas, banquet event orders (BEOs), rooming lists, audiovisual requirements, and special requests.

  • Prepare detailed event documentation and ensure timely distribution to operational departments.

  • Coordinate all event logistics including guestrooms, banquet functions, meeting room setups, food & beverage functions, recreation activities, transportation, and spa appointments.

  • Ensure all client expectations are communicated accurately to internal teams.

Client Relations
  • Serve as the primary liaison between clients and the resort throughout the planning process.

  • Build strong relationships that encourage repeat business and client loyalty.

  • Respond promptly to client inquiries and provide exceptional customer service.

  • Conduct site inspections and planning meetings with prospective and confirmed groups.

Operational Coordination
  • Partner with Banquets, Culinary, Front Office, Housekeeping, Spa, Engineering, Recreation, and Accounting to ensure flawless event execution.

  • Lead pre-convention and pre-event meetings with operational departments.

  • Monitor group activity during programs and proactively resolve issues.

  • Ensure all banquet event orders and event changes are accurate and communicated promptly.

Financial Management
  • Review contracts and ensure all event details align with contracted terms.

  • Monitor group revenue opportunities and identify upsell opportunities.

  • Review billing instructions and final invoices for accuracy.

  • Assist with forecasting group revenue and reporting as requested.

Administrative Duties
  • Maintain accurate client records within Delphi or other sales and catering software.

  • Prepare banquet event orders, resumes, rooming lists, and reports.

  • Ensure all documentation meets resort standards.

  • Participate in departmental meetings and ongoing training.

QualificationsRequired
  • Bachelor's degree in Hospitality Management, Business, or related field preferred.

  • Minimum 2 years of hotel sales, catering, conference services, or event management experience.

  • Strong knowledge of hotel operations and banquet services.

  • Excellent written and verbal communication skills.

  • Exceptional organizational and time-management abilities.

  • Ability to manage multiple events simultaneously.

  • Strong problem-solving and decision-making skills.

  • Proficiency in Microsoft Office Suite.

Preferred
  • Experience with Delphi, Amadeus Sales & Catering, or similar sales software.

  • Experience with property management systems.

  • Resort or full-service hotel experience preferred.
