The Opportunity
We are seeking a highly organized, proactive, and polished Executive Assistant to provide dedicated support to the CEO of a dynamic, global network marketing company headquartered in Puerto Rico. This is a high-impact role for someone who thrives in fast-paced environments, operates with exceptional discretion, and takes pride in keeping executive leadership running at full speed. Based in the San Juan area, this individual will manage complex schedules, coordinate domestic and international travel, support global brand partner events, and provide critical administrative support across the executive team. The ideal candidate brings a service-oriented mindset, anticipates needs before they arise, and can seamlessly manage competing priorities with professionalism and composure.
What You'll Do:
  • Executive & Calendar Support: Manage the CEO's daily schedule, calendar, and communications, including proactive prioritization of meetings, appointments, and deadlines. Serve as the primary point of contact between the CEO and internal and external stakeholders, handling correspondence with professionalism and confidentiality. Take meeting notes and distribute action items to stakeholders following executive meetings.
  • Travel Coordination: Coordinate all aspects of domestic and international travel for the CEO and other senior executives, including flights, ground transportation, hotel accommodations, itineraries, and visa or travel documentation. Anticipate potential travel conflicts, manage last-minute changes with agility, and ensure all executives are fully prepared and equipped before departure. Coordinate personal or family travel for the CEO on an as-needed basis.
  • Project Management Experience: Proven project management experience, including the ability to including the ability to independently lead and coordinate cross-functional initiatives from inception to completion. Must be comfortable managing multiple projects simultaneously, building and maintaining timelines, communicating progress to stakeholders, and proactively identifying and resolving roadblocks before they escalate.
  • Brand Partner & Global Event Support: Assist in planning, coordinating, and executing brand partner events both in Puerto Rico and globally, including logistics, vendor coordination, attendee communications, and on-site support as needed. Serve as an extension of the executive team during events to ensure a seamless experience for brand partners and guests. Manage executive-level gifting for holidays, milestones, and brand partner recognition moments.
  • Executive Team Support: Provide ad hoc administrative support to the broader executive team as directed, including preparing presentations and reports, conducting research, tracking action items, and facilitating internal communications. Anticipate executive needs and take ownership of tasks from start to finish. Support onboarding logistics for executive-level new hires as needed.
  • Financial & Administrative Operations: Manage and reconcile corporate credit card expenses and reimbursement requests on behalf of the CEO. Maintain organized filing systems for contracts, agreements, and executive documents. Order office supplies and manage the executive office environment to ensure it operates smoothly on a day-to-day basis.
  • Communication & Stakeholder Relations: Draft and edit correspondence, internal announcements, and executive communications on behalf of the CEO. Serve as a liaison with board members, key external partners, and other senior stakeholders. Screen and triage incoming calls, mail, and requests, ensuring the right items reach the CEO at the right time.
  • Special Projects & Research: Track progress on key initiatives and follow up with team members on deliverables. Conduct research and prepare briefing documents ahead of key meetings, presentations, or external engagements. Support the CEO on special projects and strategic initiatives as assigned.
  • Confidentiality & Judgment: Handle sensitive business information with the highest level of discretion. Exercise sound judgment in all situations and represent the CEO and the company with integrity and professionalism at all times.

What We're Looking For:
  • 4+ years of experience as an Executive Assistant, ideally supporting C-suite or senior-level executives
  • Demonstrated experience coordinating complex domestic and international travel logistics
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously and meet tight deadlines
  • Outstanding written and verbal communication skills in English
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong interpersonal skills with a professional, polished presence
  • Proven ability to handle confidential information with discretion and sound judgment
  • Ability to work flexible hours when needed, including occasional evenings or weekends tied to events or executive travel
  • Resides in Puerto Rico (preference for San Juan/Dorado area) or willing to relocate to Puerto Rico
