We are hiring an exceptionally mature and highly experienced Executive Assistant to support our Chief Executive Officer (CEO). This is the right role for you if you are passionate about enabling leaders to do their best work and thrive on bringing order to a fast-moving, high-growth environment. People are the most important part of Surgo Health, and as a critical partner to the CEO you will be central to owning the operations of the CEO's office and protecting the time and focus our priorities depend on. You will join a dynamic and fast-paced environment and work with cross-functional teams to keep the company's vision and strategy moving forward.

Flexibility and availability are essential: the right candidate is genuinely comfortable with a fluid, always-on rhythm and sees it as part of what makes the seat exciting rather than a burden.

The role demands impeccable organizational skills, excellent communication, consistent discretion, and the ability to proactively manage multiple complex tasks while holding a strategic view of the company's priorities.

What you’ll achieve:
Executive Support:

  • Provide detailed-level administrative support including managing the CEO’s calendar, scheduling meetings, and organizing travel and meeting arrangements
  • Manage sensitive and confidential matters with discretion
  • Handle complex and rapidly changing schedules, balancing priorities, and ensuring the CEO is prepared for all engagements
  • Screen and prioritize requests for the CEO’s time, delegating and responding as appropriate
  • Work with other leadership team members to prepare and coordinate materials for executive and other meetings, including agendas, presentations, and reports
  • Ensure the CEO’s time is spent on the highest-value activities
Meeting & Event Planning:

  • Coordinate and schedule leadership team meetings, board meetings, and investor engagements, ensuring all logistics are handled seamlessly
  • Take detailed meeting notes, ensuring key takeaways, action items, and deadlines are captured and followed up on
  • Plan and execute company events, off-site leadership meetings, and internal/external speaking engagements for the CEO
Project Management & Coordination:

  • Manage special projects and initiatives as directed by the CEO, ensuring they are executed effectively and on time
  • Track progress on key business initiatives and ensure that critical deliverables are completed by appropriate stakeholders
  • Support the CEO in cross-functional communication and collaboration with leadership, board members, and external partners, including facilitating 1:1 meetings and ensuring alignment on key priorities
  • Conduct research and prepare background information for meetings, presentations, or strategic discussions as needed
Operations & Office Management Support:

  • Oversee aspects of office management as needed, ensuring a productive and efficient work environment
  • Support the CEO in managing vendor relationships, external partnerships, and high-priority communications, including coordinating catering and event logistics as needed
  • Collaborate with the operations team to streamline processes, improve workflows, and optimize overall efficiency in the CEO’s office
Communication & Relationship Management:

  • Build and maintain relationships with key stakeholders, including board members, investors, partners, and clients
  • Manage external communications on behalf of the CEO as needed, drafting correspondence, reports, and presentations as required

About you:
  • 7+ years of experience as an Executive Assistant supporting C-suite executives, preferably in a start-up or high-growth environment
  • Bachelor’s degree in Business, Communications, or a related field is a plus
  • Passionate about working in a fast-moving and dynamic start-up environment
  • Demonstrated ability to handle sensitive information with the utmost discretion and confidentiality
  • Strong organizational, project management, and proactive problem-solving skills with impeccable attention to detail
  • Ability to anticipate the needs of the CEO and proactively address challenges before they arise
  • Ability to work with a flexible schedule and adjust to varying time zones, ensuring alignment with the CEO's needs and availability
  • Excellent written and verbal communication skills, with the ability to interface with senior executives and external stakeholders
  • Proficiency with office software (e.g., Microsoft Office, Google Suite, Zoom) and AI tools (Claude)
  • Proven experience in managing complex travel, calendars, and high-priority tasks with efficiency and professionalism
  • Adaptability and ability to thrive in a fast-paced, evolving start-up environment
  • Excellent teamwork skills
  • Proven ability to influence cross-functional teams without formal authority

Location: This role is based in Washington, DC, with 2 days/week in office, with the flexibility to come in on additional days as needed, as well as flexible hours.
Travel: No travel expected.
