Position Overview:

The Gift Processor Manager is responsible for the accurate and timely processing of charitable contributions and ensuring data integrity for all transaction records. This role supports fundraising operations by recording gifts, reconciling financial records, and producing reports that enable effective donor stewardship and fundraising decision-making.

Key responsibilities will include, but are not limited to:

Gift Processing

  • Process all donor contributions, including cash, checks, credit card gifts, ACH transactions, stock gifts, planned gifts, and online donations.

  • Enter gifts accurately into the donor database/CRM.

  • Verify giftdesignations anddonor information.

  • Ensure timely processing of gifts according to organizational policies and procedures.

Donor Database Management

  • Maintainaccuratedonor records and constituent information.

  • Updatedonorcontact information and demographic data.

  • Merge duplicate records and perform routine data quality audits.

  • Ensure compliance with data governance standards.

Financial Reconciliation

  • Reconcile gift records with accounting and finance reports.

  • Prepare daily, weekly, and monthly gift processing reports.

  • Assistwith audits and documentation requests.

  • Monitor and resolve discrepancies between fundraising and financial systems.

Reporting and Analytics

  • Produce fundraising reports anddonorgivingsummaries.

  • Support campaign tracking and donor segmentation efforts.

  • Assistwith data exports and list generation for fundraising initiatives.

Compliance and Confidentiality

  • Ensure compliance with IRS regulations and nonprofit accounting standards.

Requirements for success:

  • Associate's or Bachelor'sdegree preferred.

  • Equivalent experience in nonprofit administration, finance, or database management may be considered.

  • 1-3 years of experience in gift processing, fundraising operations, data entry, accounting, or administrative support.

  • Experience with nonprofit CRM systems preferred.

  • Proficiencywith donor databases.

  • Microsoft Excel skills.

  • Ability to perform data reconciliation and reporting.

  • Exceptional attention to detail and accuracy.

  • Strong organizational and time-management skills.

  • Ability to handle confidential information with discretion.

  • Effective written and verbal communication skills.

  • Ability to work independently and manage multiple deadlines.

The base pay range for this position at the beginning of employment is expected to be between $75,000 and $85,000/year. The actual base pay offered may vary depending on multiple individualized factors, including but not limited to job-related knowledge, skills, and experience. The total compensation package for this position will also include other elements for eligible employees, including: (i) eligibility for discretionary bonuses; (ii) various insurance options, including medical, dental, vision, hearing, life, accidental death and dismemberment, short-term and long-term disability, and business travel accident insurance; (iii) identity protection program; (iv) employee assistance program; (v) financial and retirement savings benefits including the PBS Retirement Plan 403(b); (vi) paid time off (17 days per year), paid sick time benefits (12 days per year), paid parental leave (60 days / 12 weeks ), and paid holidays (12 days per year).
