Position Summary

The Cargo Office Agent is responsible for performing administrative, clerical, and operational support functions within the cargo office. This position ensures the accurate processing of cargo documentation, coordination with warehouse and airline partners, and compliance with company policies, airline requirements, and regulatory standards.

Essential Duties and Responsibilities

  • Prepare, review, and process cargo documentation including airway bills, manifests, delivery orders, and billing paperwork
  • Enter and maintain cargo shipment data in company and airline computer systems with a high level of accuracy
  • Coordinate inbound and outbound cargo activities with warehouse staff, drivers, airline representatives, and customers
  • Respond to customer, airline, and internal inquiries regarding cargo status, delays, discrepancies, and releases
  • Verify cargo details such as weight, piece count, special handling requirements, and customs status
  • Ensure compliance with TSA, FAA, airline, and company regulations and procedures
  • Assist in resolving documentation errors, shortages, damage reports, and other operational issues
  • Maintain organized records and files in accordance with retention and audit requirements
  • Perform clerical tasks such as answering phones, emails, scanning documents, and preparing daily reports
  • Support supervisors and managers with administrative and operational needs as required
  • Perform other duties as assigned within the scope of the position and union agreement

Qualifications

  • High school diploma or GED required
  • Prior cargo, airline, logistics, or office experience preferred
  • Basic computer proficiency (email, data entry, and office systems)
  • Ability to accurately handle paperwork in a fastโ€‘paced environment
  • Strong attention to detail and organizational skills
  • Good communication and customer service skills
  • Ability to work flexible shifts, including nights, weekends, and holidays as required by operations
  • Ability to obtain AOA badge, CBP clearance, and USPS mail certification

Physical Requirements

  • Ability to sit or stand for extended periods
  • Ability to perform repetitive office tasks such as typing and file handling
  • Occasional walking between office and warehouse areas

Work Environment

  • Office environment located within an active airport cargo operation
