About the Role

The Project Coordinator (PC) supports the project management team in delivering remodels and new builds for QSR locations across Canada. The role keeps projects organized and moving - maintaining schedules, tracking procurement, managing documentation, and coordinating communication across stakeholders - while leveraging technology to keep every project on time, on budget, and audit-ready.


Responsibilities

  • Support Project Managers in the end-to-end coordination of remodel and new build projects, helping ensure on-time, on-budget delivery across Clients, Subtrades, Architects, Vendors, and Internal Teams.
  • Maintain and update digital project management tools - schedules, trackers, and dashboards - keeping project data current and accessible.
  • Track procurement workflows, including purchase orders, material and equipment ordering, delivery timelines, and submittals through structured digital tracking.
  • Coordinate communication between Subtrades, Vendors, Consultants, and Internal Teams, ensuring information flows clearly and on time.
  • Prepare, organize, and maintain project documentation, including contracts, change orders, RFIs, invoices, and closeout packages, ensuring data is centralized and easily retrievable.
  • Assist with budget tracking and cost logs, updating financial trackers at each project stage and flagging discrepancies to the Project Manager.
  • Schedule and coordinate site visits, project meetings, and inspections; record and distribute minutes and action items.
  • Support compliance tracking against legal, regulatory (government), and franchisor construction requirements, maintaining digital documentation records.
  • Proactively identify schedule slippage, missing information, and procurement risks, escalating to the Project Manager early.
  • Contribute to process optimization by helping refine templates, trackers, and technology-driven workflows.


Qualifications

  • Degree or diploma in Construction Management, Civil Engineering, Project Management, or a related technical field.
  • Certified Associate in Project Management (CAPM) certification is a plus.
  • Training or hands-on familiarity with digital project management tools & AI (Procore, Monday.com, Generative AI, or equivalent) is highly preferred.


Required Skills

  • At least 1โ€“3 years of experience in a project coordination, administration, or support role within the construction industry, ideally in a restaurant or multi-unit retail environment.
  • Exceptional organization and attention to detail, with the ability to manage documentation and tracking across multiple concurrent projects.
  • Proficiency with digital tools to maintain budgets, schedules, and project data, and to surface risks early.
  • Familiarity with construction documentation, including drawings, contracts, purchase orders, and change orders.
  • Exposure to procurement, vendor coordination, and contract administration processes.
  • Strong problem-solving skills and the ability to work cross-functionally to keep projects on track.
  • Strong written and verbal communication, capable of producing clear, structured updates and reports.
  • Fluent in English - written, spoken, and comprehension. Ability to communicate and prepare structured documentation in English is mandatory.
  • Comfortable working in a fast-paced, high-volume project environment, with the ability to adapt to shifting priorities and deadlines.
  • Proactive mindset with a strong focus on accuracy, follow-through, and technology adoption.
  • Valid driver's license and flexibility to travel for site visits as required.
