Position Description

The Capital Projects Specialist supports the execution of capital construction and building improvement projects by providing centralized administrative coordination for the regional maintenance and development teams.

This role is responsible for organizing, tracking, and maintaining project documentation, schedules, and communication across a portfolio of projects. The position ensures that project information is accurate, accessible, and up to date, enabling regional leaders to focus on project execution.

Duties & Responsibilities

  • Maintain and manage the capital projects master tracker, including project status, timelines, and key milestones
  • Create and maintain project schedules and ensure alignment with updates from regional teams
  • Organize and manage project documentation, including maintaining complete and accurate project folder
  • Track invoices, pay applications, and supporting documentation to ensure proper recordkeeping and visibility
  • Collect and maintain required documentation (e.g., COIs, contracts, project files)
  • Coordinate communication between corporate teams, community leadership, vendors, and subcontractors
  • Serve as a central point of coordination for project-related information and updates
  • Support quarterly facility reporting by collecting, organizing, and distributing reports to leadership
  • Communicate project timelines and updates to community teams as needed
  • Maintains records of required life safety regulatory compliance
  • Identify gaps in documentation, tracking, or communication and proactively resolve
  • Other duties as assigned
  • Attendance is an essential part of job responsibilities

Safety and Sanitation

  • Follows established safety policies and procedures.
  • Identifies and corrects safety hazards; reports safety concerns as required.
  • Observes safety needs of residents as indicated in care plan.
  • Wears and/or uses safety equipment and supplies when indicated and properly trained to use.
  • Demonstrates job-specific knowledge of fire and disaster preparedness during drills or actual situations.

Minimum Qualifications

  • Education: High school diploma or equivalent; additional experience may substitute for formal education
  • Experience: 3+ years of administrative experience supporting construction, project management, or similar environments
  • Strong proficiency in Microsoft Office (Excel, Outlook, Word)
  • Exceptional organizational skills with ability to manage large volumes of detailed information
  • Strong written and verbal communication skills
  • Ability to manage multiple projects and priorities simultaneously
  • Ability to work independently and maintain accuracy in a fast-paced environmen

Preferred Qualifications

  • Microsoft Project
  • Experience working for a general contractor, subcontractor, or construction-related business
  • Prior experience supporting multiple crews, vendors, or concurrent projects
  • Familiarity with construction documentation, project workflows, or scheduling tools

Physical/Mental/Environmental

  • Requires the physical, mental, and environmental efforts as set forth in the attached Job Activity Description.
