Job Summary
Coordinates capacity management initiatives for assigned specialties, serving as a central liaison between operations, the Capacity Management (CM) team, and technical teams, and ensuring timely follow-up on action items to support progress and alignment with enterprise access standards. Leverages analytics to help shape access goals and strategy, identify prioritized interventions, and translate insights into actionable next steps. Reviews division/specialty change requests to ensure alignment with standards, assesses impacts to access performance, and proposes solutions as appropriate. Proactively monitors access performance and identifies optimization opportunities in partnership with specialty leadership, enabling specialty teams to drive and own access improvement initiatives.
Responsibilities*
  • Serves as consultant between specialty, Capacity Management team, and/or HITS team to review/approve/support related scheduling build maintenance and optimization (includes all modalities for scheduling, such as direct/online scheduling), ensuring appropriate requests are funneled through the Capacity Management team.
  • Coordinates and leads design workgroups with specialties that undergo capacity management optimization initiatives, including the development of project plans, execution/implementation, and monitoring of initiatives to ensure timely delivery and alignment with organizational goals.
  • Supports Capacity Management leadership in preparing for meetings with division and specialty leadership, including preparing metrics summaries, providing guidance on in-flight and upcoming access initiatives, aligning specialty and organizational access goals, and facilitating solutions for escalated change requests.
  • Leverages specialty-level operational knowledge to inform leadership team on budgeting and forecasting activities, including assessing alignment between provider activity and projections, and monitoring performance against established targets to identify variances and inform planning.
  • Reviews division/specialty change requests (template- or scheduling build-related) to ensure alignment with standards and coordinates with division/specialty on necessary approvals (i.e., escalations process) as applicable.
  • Collaborates with CM Analyst to document build standards and processes for functionality, including why decisions were made.
  • Escalates the impact of any changes (e.g., template, scheduling workflows) affecting patient access and associated metrics to the Capacity Management team.
  • Identifies, monitors, and analyzes access performance metrics to proactively assess trends, inform access goal and strategy, and identify prioritized interventions or optimization opportunities. Translates insights into clear, actionable recommendations and next steps for division and specialty leadership.
  • Develops a specialty-level perspective on access by evaluating supply and demand drivers, incorporating market insights, space utilization/availability and leveraging benchmarking data (e.g., PAC) to inform data-driven recommendations.
  • Leverages knowledge of Cadence and other access applications to collaborate with other teams to develop queries, dashboards, and reports.
  • Interprets both quantitative and qualitative data to form recommendations on how to change leverage or implement available software functionality and the corresponding work effort.
  • Provides follow up information to appropriate individuals in affected clinics to close the loop and ensure understanding of the change in functionality. Escalate issues to the Capacity Management team, as appropriate.
  • Acquires a strong understanding of existing access workflows across Michigan Medicine and more detailed knowledge regarding workflows relevant to assigned projects.
  • Works with complex build requirements and workgroups, demonstrating sophisticated knowledge of integration of Epic workflows and applications and problem analysis to provide solutions for organizational needs.
  • Other duties as assigned.

Required Qualifications*
  • Bachelor's degree in related field and 3-5 years of related experience, or an equivalent combination of education and experience.
  • Experience with healthcare practice operations, ambulatory patient access management, EHR scheduling workflows, or clinician schedules/templates/grids required.
  • Relevant project management experience, including the ability to plan, execute, and monitor projects using structured methodologies and tools.
  • Demonstrated ability to confidently facilitate meetings and effectively manage conflict.
  • Working knowledge and experience with Microsoft business tools: Excel, Word, PowerPoint, Copilot/AI
  • Capable of working in a diverse, multi-disciplinary team and interacting with all levels of the organization.
  • Ability to work independently and as part of a team.
  • Excellent analytical, written, and oral communication skills. Ability to articulate facts and ideas clearly and concisely.
  • Demonstrated ability to analyze problems and clearly articulate potential solutions.
  • Time management and organization skills.
  • Demonstrated ability to work effectively during a period of institutional change.

Desired Qualifications*
  • A minimum of three years of related experience with access analytics, reporting, and/or Capacity Management experience required.
  • Knowledge of Michigan Medicine policies and procedures.
  • Knowledge surrounding patient registration, consult/order workflows, and MiChart reports.
  • Epic Cadence certification.
