General Description:
The Housing Operations Manager fills an integral role on the On-Campus Housing team. Housing Operations Manager collaborates with faculty, staff, and students to create and manage purposeful and dynamic learning environments across campus that support student wellbeing and thriving. They have a broad knowledge of the diversity of student experiences and implement this knowledge into daily practice, particularly in support of retention and persistence for historically marginalized students (e.g., Students of Color, First Generation, LGBTQIA+, and other students). Finally, the Housing Operations Manager is a reflective educator who is able to communicate with diverse individuals and communities. The Housing Operations Manager reports to Associate Director for Housing Operations.
The Housing Operations Manager provides essential services and support, including: managing On-Campus Housing correspondence, processing new student housing applications and assignments, coordinating early arrival/extended stay housing processes, and assisting in coordinating residential facilities work.
On-Campus Housing stewards the care for and use of residential space on campus. On-Campus Housing collaborates closely with Facilities Management and Campus Life to provide and connect students with living and learning communities that contribute to an overall successful student experience.
Essential Functions and Responsibilities:
On-Campus Housing Operations
  • Act as initial contact in person, by telephone and e-mail, with internal (students, staff, faculty) and external (family, community members, vendors, state and federal offices) constituents.
  • Initiate the creation, communication and tracking of all student housing applications and assignments.
  • Provide collaborative oversight for on-campus occupancy in support of Associate Director for Housing Operations.
  • Assist with regular housing and student reports and notifications.
  • Act as superuser for eRezLife software, and lead in the creation and maintenance of forms, assignments, and inventory; coordinate the input and maintenance of housing assignments and changes in eRezLife.
  • Manage and serve as primary contact for the Early Arrival, Winter Break and Extended Stay Housing Processes.
  • Facilitate ongoing and yearly housing processes such as room requests, assignments, cancellations and changes.
  • Reinforce the training of Campus Life professionals and student staff on housing policies and procedures.
  • Coordinate with the Wang Center for communications regarding housing procedures for students studying abroad.
  • Provide assessment data and analysis of learning community interest, viability and retention for the department of Campus Life.
  • Assist in tracking accommodations across residence halls and provide assessment data and analysis of Accessibility and Accommodation applications.
  • Assist in the reviewing and input of students fines and fees in Banner in accordance to On-Campus Housing policies.

On-Campus Housing Facilities
  • Collaborate with the PLU Facilities Management team and Associate Director for Housing Operations regarding residence hall cleaning and maintenance needs and the effective and efficient use of AssetPlanner by residence hall students and staff.
  • Manage hiring, training, scheduling and supervision of student housing assistants and yearly student residential facilities assistant.
  • Provide insight to residential Community Directors in Campus Life regarding facilities and maintenance closures in relation to residence halls.
  • Manage the inventory and distribution of resident keys for eight traditional and one apartment-style residence halls.
  • Assist Associate Director in the coordination of residential student card access in collaboration with the Associate Director of Campus Safety for Access Controls & LuteCard Operations.
  • Coordinate the training of all Campus Life professional and student staff on residence hall facilities processes, policies, and procedures in coordination with Associate Director.
  • Provide oversight with managing furniture and equipment inventory for the residence halls to include planning and purchasing with Associate Director.

On-Campus Housing Marketing & Publications
  • Act as a webmaster for On-Campus Housing; lead in creating, updating and editing on-campus housing websites and online housing applications and timelines.
  • Coordinate the development and production of On-Campus Housing printed publications and communications.
  • Lead departmental housing-related communications with prospective and incoming students and families to foster a sense of welcoming and connection; participate in on campus Office of Admission events and activities.
  • Create universal departmental signage for residential halls.

General On-Campus Housing Functions
  • Support campus-wide retention and well-being priorities, particularly for historically marginalized students, including Students of Color, First Generation Studies, and LGBTQIA+ students.
  • Maintain office supply inventory and order supplies as needed.
  • Responsible, along with all of On-Campus Housing, for continuous improvement of services and learning opportunities.
  • Serve on University Finance & Operations and University committees as assigned.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:
  • Experience working in, developing, and/or implementing Learning Communities.
  • Communicate clearly and effectively in both oral and written forms.
  • Passion for a collaborative work environment.
  • Knowledge of student learning and development, and ability to apply in daily practice.
  • Leadership skills and an ability to work effectively with university students.
  • Demonstrated ability to work collaboratively with colleagues and other departments.
  • Capacity to respond to serve as an initial and referring response to student mental health concerns and to engaging with well-being resources and priorities.
  • Skills in counseling, administration, and community development.
  • Proficient computer skills including word processing and spreadsheet software.

Required Qualifications:
  • Bachelor's degree or 2 years of job related experience.
  • High school diploma or GED.
  • Finalist applicants must satisfactorily complete pre-employment background checks.

Preferred Qualifications:
  • Post-undergraduate residential life/housing or related experience
