Job description

The Marketing Operations Specialist leads the systems, processes, technology, and operational execution that power marketing performance. This role owns marketing automation, campaign deployment, reporting, workflow management, data integrity, and cross-functional project execution. The position partners closely with marketing leadership, campaign managers, and external vendors to ensure marketing initiatives are executed efficiently, measured accurately, and optimized for performance. ResponsibilitiesEssential Functions:

Marketing Automation & Campaign Execution 
  • Lead the implementation and deployment of marketing campaigns across email, CRM, digital, and recruitment marketing platforms. 
  • Build, test, schedule, and maintain automated workflows, nurture programs, forms, landing pages, and audience segmentation. 
  • Ensure campaigns are configured accurately and launched according to established timelines and requirements. 
  • Manage campaign QA processes, troubleshooting, and platform performance validation. 
Marketing Systems & Technology Management 
  • Serve as primary administrator for marketing technology platforms, including HubSpot, Salesforce, social tools, and reporting platforms. 
  • Maintain marketing databases, audience segmentation, workflows, integrations, and platform health. 
  • Identify opportunities to improve automation, scalability, and operational efficiency. 
Project & Workflow Management 
  • Translate campaign strategies into operational plans, timelines, deliverables, and production schedules. 
  • Manage project workflows and coordinate stakeholders to ensure efficient execution. 
  • Maintain visibility of campaign status, dependencies, deadlines, and resource requirements. 
Reporting & Marketing Analytics 
  • Own campaign reporting processes and dashboard management. 
  • Pull, validate, and analyze performance data across channels. 
  • Maintain reporting frameworks and tracking systems. 
  • Deliver actionable insights to support optimization and decision-making. 
Vendor & Resource Management 
  • Support relationships with marketing vendors, freelancers, agencies, and production partners. 
  • Coordinate creative production workflows and ensure deliverables meet quality and timeline expectations. 
  • Assist with vendor evaluation, budgeting support, and performance management. 
Quality Assurance & Process Improvement 
  • Conduct quality assurance reviews across campaigns, automations, assets, links, forms, and reporting systems. 
  • Develop and maintain marketing process documentation and best practices. 
  • Identify operational improvements that enhance accuracy, efficiency, and scalability.

Required SkillsRequired Competencies, Education, and Experience  
  • Minimum of three years of marketing experience  
  • Experience executing multi-channel campaigns across email, social, and digital platforms  
  • Strong writing, editing, organization, and project management skills  
  • Experience building emails, workflows, lists, and reporting within marketing technology platforms  
  • High attention to detail with strong quality assurance and deadline management skills  
  • Ability to manage multiple projects, stakeholders, and execution timelines simultaneously  
Preferred Competencies, Education, and Experience  
  • Bachelor’s degree in Marketing, Communications, Business, or related field  
  • Healthcare, multi-location, franchise, or service-based marketing experience preferred  
  • Experience with HubSpot, Salesforce, social scheduling tools, and campaign reporting dashboards preferred  
  • Experience managing vendors, freelancers, or creative production workflows preferred  
Position Type/Expected Hours of Work
  • This is a full-time position, Monday through Friday. Occasional evening and weekend work may be required as job duties demand.  
Travel
  • Minimal travel may be required for this position.
Work Environment
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Demands
