Summary of Responsibilities:

The CAM Assistant is responsible for the daily assistance and ongoing projects relating to the community associations within Sea Oaks Property Owners Association, Inc. To be successful in this role, the CAM Assistant should be detail-oriented, service-focused and have exceptional organizational skills.


Essential Roles & Responsibilities:

Job responsibilities include, but are not limited to:

  • Manage all work orders within Enumerate- creation of the order, facilitation and communication with appropriate parties to complete the work order, closing the work order, and providing periodic reports to the Community Association Managers.
  • Manage all vendor insurances, ensuring a current copy of the Workers Compensation Insurance Certificate is on file at all times and contacting vendors when an updated certificate is needed.
  • Create and facilitate all meeting packets for association meetings, ensuring appropriate meeting agendas and notes are included.
  • Assist Community Association Managers with association budgets.
  • Manage all barcodes, assisting members with the application of the barcode onto their vehicle(s), activating and de-activating the barcode as necessary.
  • Manage gate passes for guests and other applicable parties, notifying the gate of any active passes and invalidating the pass if necessary.
  • Facilitate the association keys- ensuring we have a key on file for each unit, managing the distribution and collection of the keys by ensuring we have an appropriate authorization on file and notifying the member as needed.
  • Create and distribute orientation packets to the appropriate Community Association Manager, ensuring all applicable information is included in the packet and that the CAM has the packet within the respective time period.
  • Provide exceptional customer service to members through email, phone conversations and in-person communication, maintaining the hospitality approach and exceptional member experience.
  • Meet with members as necessary for projects assistance such as selecting from approved paint colors.
  • Assist the Community Association Managers (CAMs) with projects by obtaining bids from varying vendors, coordinating with the appropriate team members on property.
  • Generate notices and fliers for the Community Association Managers (CAMs) using CANVA.
  • Manage the pest control services through Terminix on a weekly basis and in addition as necessary.
  • Assist in handling insurance information and procedures such as scheduling inspections, speaking with appropriate representatives and delegating information as necessary.


Requirements:

To be successful in this role, the Community Association Manager (CAM) Assistant must:

  • Possess exceptional organizational skills, time management and detail-orientation.
  • Possess a proficiency in Microsoft Suite: Word, PowerPoint, Excel, Outlook
  • Be at least eighteen (18) years of age.
  • Be an excellent communicator through written and verbal communications.
  • Be able to read, see and hear.
  • Be able to lift up to 20 pounds intermittently.
  • Be able to sit for an extended period of time.

Experience within a property management association is preferred.
