Position:  Administrative Assistant I

Location:  Wilsonville, AL (Plant Gaston)
Client:       Alabama Power
Duration:  1 Year

Schedule:  Monday–Friday, 6:00 AM – 2:30 PM

Job Summary

Alabama Power is seeking an organized and detail-oriented Administrative Assistant I to provide administrative support for Plant Gaston. This role supports multiple departments including Maintenance, Planning, Compliance, Engineering, Fuels, and Environmental by coordinating daily administrative activities, maintaining records, processing reports, and supporting plant operations.

The ideal candidate will have 1–5 years of administrative experience, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Provide administrative support to Maintenance, Planning, Compliance, Engineering, Fuels, and Environmental departments.
  • Process employee timekeeping, attendance, and expense reports.
  • Coordinate travel arrangements, meetings, and conference logistics.
  • Prepare reports, presentations, and departmental documentation.
  • Maintain records, filing systems, and document retention.
  • Order office supplies and coordinate copier/printer maintenance.
  • Support plant safety initiatives and administrative compliance activities.
  • Maintain Southern Linc phones, repairs, and replacements.
  • Update ARCOS schedules, vacation records, and call-out lists.
  • Process tool reimbursements and employee boot allowances.
  • Serve as the departmental contact for FMLA administration.
  • Verify contractor timesheets using Tableau and supporting documentation.
  • Provide backup support for other Administrative Assistants.
  • Deliver outstanding customer service to internal and external stakeholders.

Required Qualifications

  • High School Diploma or equivalent required.
  • Associate degree, two-year degree, or vocational certification preferred.
  • 1–5 years of administrative support experience.
  • Extensive experience coordinating meetings, conferences, travel arrangements, calendar management, and report preparation.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent organizational, communication, and multitasking skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Strong customer service and interpersonal skills.

Preferred Qualifications

  • Experience with SHIPS, PeopleSoft, or other HR/people management systems.
  • Accounts Payable experience.
  • Experience with timekeeping systems.
  • Experience supporting union employees in a plant or industrial environment.
  • Experience using Tableau for reporting and timesheet verification.
