The Business Support Assistant provides operational and administrative support to enhance the efficiency of day-to-day business functions. This role supports fleet management activities, including tracking, coordination, and maintaining accurate vehicle-related records. Additionally, the position is responsible for assisting with record-keeping and allocating business support purchases, ensuring proper documentation and alignment with company processes. The Business Support Assistant works closely with internal teams to support administrative needs and contribute to overall operational organization and efficiency.
Responsibilities:
  • Perform clerical duties including data entry, document preparation, and general administrative support.
  • Assist in maintaining and updating Business Support Standard Operating Procedures (SOPs).
  • Support internal teams with administrative tasks and day-to-day operational needs.
  • Handle routine correspondence and assist with documentation as needed.
  • Communicate and build rapport with current and potential vendors to support business operations and service needs.
  • Assist in organizing and coordinating office and company-wide meetings and events.
  • Support budgeting for office and company events, including tracking expenses and maintaining alignment with Business Support budgets year over year.
  • Coordinate travel arrangements for team members, including flights, hotel accommodations, and car rentals, which may include executive leadership.
  • Maintain a detailed Business Support calendar, tracking facility-related tasks for all locations.
  • Assist in scheduling and coordinating maintenance services for office locations.
  • Monitor and order supplies for all offices, locations, and departments, ensuring appropriate stock levels.
  • Provide office supplies to team members as needed.
  • Ensure supply closets are maintained, organized, and properly stocked.
  • Ensure compliance with document posting requirements and office space organization needs.
  • Assist with fleet management, including coordinating driver and vehicle additions/removals and scheduling maintenance or service for company vehicles.
  • Support the maintenance, repair, and upkeep of the executive sprinter.
  • Maintain accurate records related to fleet activity and services.
  • Assist with record-keeping and allocation of Business Support purchases, ensuring accurate documentation and proper categorization.
  • Track and manage receipts and expenses in alignment with Business Support budget requirements.
  • Assist with handling outgoing mail, including preparation and coordination of shipments as needed.
  • Assist with onboarding support for new team members.
  • Contribute to organizing internal events, celebrations, and company initiatives.
  • Promote team engagement and participation across company activities.
  • Maintain professionalism in all interactions and represent the company positively.
  • Demonstrate the ability to work independently with minimal supervision.
  • Exhibit flexibility to work outside of regular hours, including weekends, based on business needs.
  • Ability to support multiple company locations as required.

Requirements:
  • High School Diploma or Equivalent
  • At least 1yr of Office Administration & Customer Service Experience
  • Prior Experience w/ Computers & Office Equipment (i.e., Microsoft Office, Printer, & Scanner)
  • Prior Experience within the Home Improvement or Construction Industry is a Plus
  • Reliable Transportation for Commuting to Various Company Locations is Required
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to physically move up to 15 pounds
