Job description

A career opportunity combining your excellent business acumen and team leading skills that is bound to make you smile.

Dr. Meigan Miller Family Dentistry is the comprehensive general dental practice of Dr. Meigan Miller. The management (non-clinical) responsibilities of this busy, popular practice are more than what one supercharged dentist can shoulder alone! Therefore, Dr. Miller and Team are eagerly in search of a talented Business Team Leader to join the practice and assume the many tasks that run “the business side” of the practice. If you enjoy managing a “big professional family” coupled with the operations of a progressive, relationship based, and community-oriented organization, drive your career talents into the rewarding field of dentistry!

A perfectly well-balanced role: People, business metrics, projects, and service.

Our Business Team Leader will represent the values and integrate the directives expressed by Dr. Miller. We have an amazing team comprised of three administrative staff, four dental assistants, and three hygienists. It’s the day-to-day support provided by our new Business Team Leader (BTL) that will support our consistent performance and focus to do what we do best... Taking care of patients. After learning the basic processes of administrative patient management, general areas of responsibility include managing personnel, overseeing operations and projects, supporting patient management when needed, and processing key functions related to accounts receivable & financial management, as further described below.

Personnel Management: Examples of responsibilities include organizing and leading team meetings, cultivating and developing high-performing staff members, leading our morning huddle, keeping track of time-off and vacation requests for Dr. Miller, coordinating staff coverage efforts, and coordinating details for staff outings and celebrations. As the practice grows and new positions are added, you’ll lead efforts with candidate interviews and staff selection.

Project & Operations Management: Our BTL will oversee facility maintenance, follow up on decisions and deadlines decided in meetings, manage projects for Dr. Miller (especially when unforeseen issues arise), assemble monthly metrics reports for Dr. Miller, discuss “numbers” and strategies for growth, collaborate with Dr. Miller on practice building efforts and implementing many of the strategies to support decisions, handle various tech support issues, and contact resources when outside services are required. Essentially, the BTL is “on point” for Dr. Miller to manage, solve, and prevent problems.

Patient Management: To deliver the most attentive patient services, our staff are cross-trained and ready to the relationship-focused patient experience timely, positive, and seamless. Our Business Team Leader will be cross trained to fill-in, when needed, for our fabulous Patient Care Coordinators who handle each step of patient check-in, check-out, collecting payments, registration, scheduling, presenting treatment plans, and phones. Our BTL will resolve any non-routine patient concerns with professionalism and compassion.

Revenue Cycle & Financial Management: Our Business Team Leader will oversee accounts receivable, process payroll, manage patient billing, make soft calls to inquire about open balances, and aid in financial reporting. Our BTL will track and keep record of Key Practice Indicators to analyze production and collection data to support practice goals and growth.

Dental experience is nice, but NOT REQUIRED to apply!

A qualified Business Team Leader candidate does not need prior medical or dental practice management experience to apply (although, that work history is helpful to the learning curve of this position). The following list of criteria is imperative to train successfully into this role:

  1. Initiative to “dive right in.” Observe, study, ask questions, apply answers, and “YouTube” for information to accelerate your industry training.
  2. Minimum of 4 years supervisor experience working with direct reports in a “small business” culture that values close-knit relationships.
  3. BS, BA, or MBA from accredited university ideally in Business, Healthcare Administration, Communications or related major. Candidates who do not possess a bachelor’s but whose work experience has provided excellence in education and experience will be considered.
  4. Maintaining and updating employee records under Dr. Miller’s direction.
  5. Fostering positive employee relationships in collaboration with Dr. Miller to promote team building experiences.
  6. Excellent written and verbal communication skills to represent our brand and help patients follow through with treatment.
  7. Technical aptitude to quickly learn software and eager to lead initiatives that improve internal processes and communications.
  8. Be a model of professionalism for all team members.
  9. Preference to juggle many tasks and varied responsibilities with the pleasure of seeing how your efforts directly impact the success of the practice, your co-workers, and your professional growth.
  10. Stable work history.
  11. Highly organized, efficient history with project management.
  12. Calm when under pressure, approachable temperament with the ability to continue seeing “the big picture” and remain unfrazzled when life is “dishing it out from every direction.”
  13. Proficient with QuickBooks and routine payroll/accounting processes.

Rewarding compensation with a most ideal work schedule!

This is a full-time, salaried FOUR-DAY WORKWEEK position. No weekend hours, and no evenings!
