Job description

Job Summary:

The Operations Manager leads and manages the operations staff and processes ensuring efficiency of operations using effective organization and proactive skills supporting the daily coordination and management of internal business operations at ABC Hopes. The position is a key role within the company ensuring consistency, communication and alignment across staff and programs, while supporting the overall operations. The goal is to work with leadership on implementing and coordinating workflows of staff activities while following processes aligned with the established organizational mission and vision.

 

Supervisory Responsibilities:

·       Office Manager, Extra Innings Team and Fitness Coaches

Duties/Responsibilities:

·       Lead and manage office staff with daily operations

·       Administer weekly staff meetings with staff and leadership ensuring accountability of programs and utilization of resources

·       Enforce established SOPs and create new SOPs as needed proactively with a focus on process improvement

·       Track and monitor the data reporting for new and existing grants

·       Maintain tracking and utilization of resources available for all of ABC Hopes programs

·       Coordinate and schedule volunteer support for the organization using the established SOP for on-going volunteer needs and one-time event volunteer needs

·       Prepare and present any process improvements needed for program enhancements to ensure operations are run smoothly

·       Complete monthly tracking of staff activities and evaluate schedules along with the utilization of resources, including room space within the facility to serve the Hopers needs for progress.

·       Manage the strategic planning and forecasting of the employee staffing process for the programs to ensure appropriate ratio with classes and attendance of employees  

·       Coordinate the logistics and programs utilization of resources for programs, meetings and events with the Office Manager

·       Uphold a high level of confidentiality and professionalism in handling sensitive information and communication with employees and families

·       Schedule and conduct facility tours with prospective Hoper families as needed.

·       Performs other related duties as assigned

Required Skills/Abilities:

·       Excellent verbal and written communication skills.

·       Excellent interpersonal and customer service skills.

·       Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software used within the operations of ABC Hopes.

·       Knowledgeable in leadership and management of employee’s processes and accountability.

·       Ability to work independently and take initiative with any additional work tasks needed within the operations of the business and utilize available resources.

·       Must have reliable transportation to commute to the office.

·       Exceptional organizational and time management skills with the ability to prioritize tasks and meet deadlines, while ensuring accuracy with details.

·       Ability to maintain a high level of professionalism and confidentiality.

·       Strong problem-solving skills and the ability to think critically in a team environment.

Education and Experience:

·       High School Diploma required, Associate’s degree preferred

·       Minimum 2 years of experience required in a management of operations role; preferably within a nonprofit organization.

Physical Requirements:

·       Prolonged periods sitting at a desk and working on a computer to complete assigned paperwork.

·       Must be able to lift-up to 20 pounds at times.

·       Must be able to kneel, sit, stand, crawl, push, and pull
