The role of Business Intake Specialist sits at the center of client onboarding and matter creation, ensuring that all incoming requests are accurately reviewed, validated, and processed within internal systems. The position plays a key part in maintaining data integrity, compliance, and risk control across new business intake workflows. It involves close coordination with attorneys, administrative teams, and risk management professionals to ensure completeness and consistency of information. The environment is fast-paced, detail-driven, and highly collaborative, requiring strong organizational skills and sound judgment. The specialist contributes directly to operational efficiency by ensuring matters are set up correctly from the outset. This is an excellent opportunity for a professional who thrives in structured processes and values precision in legal operations. Accountabilities:
  • Manage incoming client and matter intake requests through designated ticketing and workflow systems, ensuring timely and accurate processing.
  • Review submissions for completeness, required approvals, and supporting documentation, escalating issues when necessary.
  • Enter, update, and maintain client and matter data with high accuracy while adhering to firm standards and naming conventions.
  • Initiate and track conflicts checks, coordinating closely with risk management to resolve discrepancies or missing information.
  • Conduct quality control reviews to ensure proper matter setup and compliance with internal policies and regulatory requirements.
  • Maintain detailed documentation and audit trails for all intake activities within relevant systems.
  • Identify and flag potential compliance or risk concerns for further review.
Requirements:
  • Minimum 2 years of relevant experience in legal support, research, paralegal work, project coordination, or business intake functions (or 1 year in direct conflicts/business intake within a law firm preferred).
  • Strong attention to detail with proven ability to manage multiple priorities in a deadline-driven environment.
  • Excellent organizational, analytical, and problem-solving skills.
  • Ability to exercise discretion, confidentiality, and sound professional judgment.
  • Strong communication skills with the ability to collaborate effectively across legal, administrative, and risk teams.
  • Experience with legal intake systems, ticketing platforms, or comparable tools is highly preferred.
  • Familiarity with legal research databases and enterprise systems such as intake or accounting platforms is an advantage.
