Position Overview:

Manage the business operations needs of the division including financial reporting, cash management, accounts payable, budgeting, and forecasting.

Position Responsibilities:

  • Recommend and assist the Director in defining policies, procedures and standards regarding overall operational office performance.
  • Prepare weekly and monthly statistical reports and variance analysis as required by supervisor.
  • Manage the inventory tracking and revenue reporting systems.
  • Review reports to project revenue.
  • Define and implement effective credit and collections procedures to maintain a low bad-debt margin.
  • Manage P&L activity and prepare monthly variance analysis.
  • Generate and review Account Executive commissions reports.
  • Prepare monthly estimate and close folder as well as other financial reporting.
  • Review invoices to verify proper GL Codes and the processing of invoices.
  • Make bank deposits and process credit cards for local clients while maintaining integrity of process.
  • Advise Director regarding needs for inclusion in the capital and related operating expense budgets.
  • Oversee preparation of budget and ensure budgetary goals are met.
  • Implement effective internal controls to safeguard company assets.
  • Make recommendations to resolve any administrative, operational, or performance deficiencies in the office.
  • Responsible for maintenance of all office equipment (i.e., copier, fax, telephone system etc.)
  • Perform other duties as assigned.

Position Requirements:

  • Bachelor's degree with an Accounting or Finance concentration preferred.
  • Minimum of three years operational management experience.
  • Strong communication and organizational skills.
  • Excellent typing and computer skills, including Windows based programs.
  • Strong knowledge of traffic and billing systems and related functions and terms.
  • Strong analytical and problem-solving skills.
  • Ability to work in a fast-paced environment.
  • Ability to perform all the duties and responsibilities as described.
