Brief Summary of Work for this Position
The primary purpose of the Administrative Associate is to provide administrative support to the Interdisciplinary Studies (IDS) Program(s) within the College of Humanities, Social Sciences, and the Arts.
The Administrative Associate is responsible for the following IDS Program(s) duties:
  • Provides general office support, receptionist for IDS and assists the department chair as needed.
  • Processes purchases, requisitions, and independent contractors.
  • Enters assignments for faculty load, compensation, and graduate student pay actions.
  • Manages the departmental budget and prepares summary data reports.
  • Processes travel arrangements and requests.
  • Assists in tracking faculty research and grants.
  • Maintains keys, building access, confidential records, files, and databases, including equipment, computer, and surplus tracking.
  • Processes space reservations and building maintenance requests.
  • Assists with various office matters, including room scheduling, answering telephones and welcoming visitors, directing students to department resources, copying and preparing class materials, including coordination of book orders.
  • Inputs the department course schedule(s) into Banner.
  • Coordinates departmental events.
  • May oversee department social media and assists with interdepartmental communications.
  • Assists the Program Director with other duties as assigned.

Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Preferred education, professional skills and experience
  • Knowledge of the regulations and policies of the department, College of Humanities, Social Sciences and the Arts, University of North Carolina, and the State of North Carolina, which are applicable to the work.
  • Knowledge of Banner financial and student information systems.
  • Specific knowledge of the formats involved in the preparation of documents necessary for the department's teaching and service mission.
  • Experience in a University and/or office environment.
