Administrative Assistant II (11-month) - Reed Elementary
1 position available (Business Admin Assist or Registrar)
Job Summary:
Reed Elementary is seeking a dedicated Administrative Assistant to ensure the efficient operation of the school's front office and project a positive image to the school community. Administrative Assistant will provide high-level support to the Building Principal and have general office duties. Once this role has been filled, it will be established which Administrative Assistant in the office will take the lead on Business/Financial functions and which will take on Registrar/Student Data functions. Both Administrative Assistants will be cross-trained and will provide assistance to each other. See attached job description for specifics on more duties and responsibilities.
Shared Responsibilities:
  • Greet visitors, determine needs, and maintain a safe, positive, and inviting environment for students, staff, and families.
  • Provide direct administrative assistance, including managing calendars, scheduling appointments, and preparing correspondence.
  • Assist with emergency drills (fire, tornado, earthquake) and manage visitor/volunteer sign-in procedures and building access.
  • Manage school-wide announcements, update the school website, and use automated communication systems to reach stakeholders.
  • Maintain office equipment, manage mail/deliveries, and keep the school telephone directory updated.

Business Administrative Assistant Specific Responsibilities:
  • Manage building budgets, create and process purchase orders, and reconcile district purchase cards.
  • Oversee student activity accounts, mini-grants, petty cash, and processing of staff reimbursements.
  • Oversee lunchroom processes (counts, payments, and overdue balances)
  • Manage the distribution of supplies and equipment.
  • Responsible for building work orders and monitoring the use of district purchase cards for staff.

Registrar Specific Responsibilities:
  • Maintain and update the Student Information System (SIS); manage all student permanent records to ensure legal compliance and accuracy.
  • Coordinate student registration, facilitate kindergarten screenings, and manage the transfer of incoming/outgoing student files.
  • Assist the principal in preparing the master calendar and coordinating building-level schedules.
  • Prepare and submit reports related to student attendance, report card mailings, and classroom lists.

Education and/or Experience:
  1. High school diploma or equivalency certificate required.
  2. Preference will be given to candidates with prior experience in a school setting.

Compensation and Benefits: The salary range for this position is $19.33 - $28.99/hour. This is an 11-month, 35 hours per week, benefits eligible positions.
