As we continue to expand, we are seeking a highly organized and dependable Administrative Virtual Assistant to support the daily administrative and operational functions of our business.
Position Summary
The Administrative Virtual Assistant will provide administrative, operational, and customer support to ensure the efficient day-to-day operation of the business. This role requires strong organizational skills, excellent communication, and the ability to manage multiple responsibilities in a remote work environment.
The ideal candidate is detail-oriented, proactive, resourceful, and capable of working independently while maintaining professionalism and confidentiality.
Key Responsibilities
- Manage and organize email inboxes, calendars, appointments, and scheduling.
- Respond to customer inquiries via email, phone, chat, and social media in a timely and professional manner.
- Assist with booking and coordinating travel arrangements, including flights, accommodations, vacation packages, cruises, tours, and transportation.
- Maintain accurate client records, booking information, and internal documentation.
- Prepare quotes, invoices, itineraries, reports, and other administrative documents.
- Perform data entry and maintain digital filing systems.
- Coordinate with suppliers, vendors, and business partners to support daily operations.
- Assist with CRM management and updating customer information.
- Schedule and publish social media content and respond to general inquiries.
- Track deadlines, follow-ups, and administrative tasks to ensure timely completion.
- Conduct online research and compile information as requested.
- Recommend improvements to administrative processes and workflows.
- Perform additional administrative and operational duties as assigned.
Required Qualifications
- High school diploma or equivalent.
- Minimum of one (1) year of experience as a Virtual Assistant, Administrative Assistant, Office Assistant, Customer Service Representative, or in a similar administrative role.
- Excellent verbal and written communication skills.
- Strong organizational, planning, and time management abilities.
- Ability to manage multiple priorities and meet deadlines.
- High level of professionalism and discretion when handling confidential information.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Drive, Calendar).
- Comfortable learning and using CRM systems, travel booking platforms, and cloud-based business software.
- Reliable high-speed internet connection.
- Quiet, professional home office suitable for remote work.
Preferred Qualifications
- Experience working in a remote administrative support role.
- Experience in the travel, hospitality, tourism, or customer service industry.
- Familiarity with travel booking platforms such as Expedia TAAP, Amadeus, Sabre, Galileo, or similar systems.
- Experience using CRM platforms, project management software, or customer support systems.
- Basic knowledge of Canva, Microsoft Designer, or other graphic design tools.
- Experience scheduling social media content using Meta Business Suite, Buffer, or similar platforms.
- Ability to work across multiple time zones.
- Experience supporting small businesses or executive leadership.
