Cayman ABA is the first any onlyBHCOE-accredited ABA agency in the Caribbean, providing ABA interventions to children with autism spectrum disorders and other related developmental delays, ages 2-18. We are looking for an experienced and competent Clinical Coordinator to oversee a team of RBTs and assist with managing BCBA client caseloads. The person we're looking for is eager to be part of an impassioned clinic, dedicated to serving families in need.


As a Clinical Coordinator at Cayman ABA, you should demonstrate excellent client service, communication and organizational skills, plus the ability to perform well in stressful situations. The Clinical Coordinator position requires an experienced and competent BCaBA/QASP-S (or someone pursuing either of those credentials) who provides in-session training and fidelity checks while also serving as the primary point of contact for a group of clients, feeding that important information to BCBAs immediately.


The Clinical Coordinator will attend client related meetings, provide training to RBTs/ABATs, assist in conducting evaluations of clients and assist in design treatment plans for clients. The Clinical Coordinator will also be responsible for educating, observing, assessing, and supervising the activities and service delivery of all RBTs on their team as directed.


Reports to: Clinical Supervisors


Specific Responsibilities:


BCBA Support

  • Provides supporting assessment for BCBAs on functional behavioral assessments,reinforcer assessments and new client skills assessment as directed.
  • Assists in drafting skill acquisition lessons for clients with BCBA oversight
  • Maintains the Client Outcome Data and Assessment Tracker
  • Assists BCBAs with exemplar mastery and lesson progress progression in electronic systems by
    • Analyzing graphs of Skill acquisition bells daily and actioning bells in skills daily (ignoring bell, marking exemplar as mastered or lost)
    • Logging exemplar mastery on the Exemplar Mastery Log in each clients shared drive folder
    • Flagging items for BCBA attention for graphs not progressing based on Revision Criteria Policy
    • Marking probed exemplars from paper data as known in SKILLS
  • Assists BCBAs with scheduling community outings as directed
    • Tasks the Clinical Operations Supervisor to send out permission slips to parents for community outings

Safety Support

  • Provides on-site auxiliary staff member support, and always has a walkie talkie on their body during office hours, to respond to support needs according to the Walkie Talkie Usage Procedure
  • Acts as a Safety staff member according to the Safety & On Call Staff Member Policy


Same-day Session Coverage and Transition Caseloads

  • Provides same-day coverage for BT call-outs, if another BT can not be scheduled to cover, according to the coverage call tree
  • Provides extended coverage for BT sessions in extenuating circumstances, for example when we are short-staffed on BTs or a BT is on vacation
  • In rare occasions, may be assigned a case that is starting services, when the need to start them is urgent and there is no BT availability. These periods of coverage must not exceed 1 month.


Behavior Technician Performance Monitoring and Coaching

  • Completes the Behavior Technician Supervision form for each behavior technician on a case, after auditing each case on their BCBAs caseload once per month
  • Identifies when BTs present with repeated errors and leads role-play / coaching sessions with them to improve on the skill gap
  • Escalates repeated performance concerns, after coaching sessions have taken place, to BCBAs and Clinical Supervisor for development of a performance improvement plan
  • Oversees BT office hours productivity and continually generates lists of things to do during office hours on the BT Office Hours Tracker, based on observed needs in the clinic
  • Monitors the BT Office Hours Tracker for BT adherence and completion
  • Checks permanent product binders regularly and gives feedback to BTs when binders are incomplete or disorganized or data is not labeled properly or scanned/shredded each month
  • Upholds the clinic cleanliness policy and checks / signs off on therapy rooms each day and verifies/enforces that clinic cleanliness policies are being followed.
  • Manages a clinic-cleanliness rotation schedule for behavior technicians.


Behavior Technician Onboarding and Training

  • Trains new BTs to high standards and ensures they can pass their 15-day field evaluation with at least 80% and 30-day with at least 90%
  • Engages in an orientation meeting with new BT hires on their first day (scheduled by the Clinical Supervisor)
  • Schedules and conducts at least 5 in-person role-play new BTs or trainees over their first four weeks to promote success in skill acquisition
  • Completes 15 overlap/training sessions with each new BT hire, and completes the BT Training Record form for each training session
  • Assists BT trainees with exam registration and preparation and guides BT trainees through the exam registration process and ensures their smooth success in meeting credentialing requirements
  • Provides weekly mentorship and support to new BTs adjusting to the job during their first month
  • Provides a summary of strengths and concerns to BCBAs, following the 15 overlap sessions


Clinical Administrative Duties

  • CR Client-Staff connections
    • Manages client and staff connections in the Contacts module and updates this monthly on the 25th of each month according to the Scheduling Projection
    • Addresses any connections when staff indicate withheld status
  • SKILLS setups
    • Sets up Clinicians and BTs in SKILLS when they onboard at Cayman ABA (BambooHR sends a notification email)
    • Removes Clinicians and BTs in SKILLS when they offboard at Cayman ABA (BambooHR sends a notification email)
    • Connects clients to BTs in Skills when a new BT is assigned on a case

Eligibility & Requirements

  • A minimum of a Bachelor's degree in Psychology, Education, Natural Sciences or a related field
  • Current BCaBA Credential from the BACB or QASP-S Credential from the QABA Board, in good standing OR pursuing either of these credentials
  • Must align with Cayman ABAs Core Values
  • Work permit holders must meet requirements to obtain a work permit
  • Must possess or obtain reliable transportation within the first month of relocation
  • Must be willing to commit to a minimum 2.5 year initial contract


Position Type/Expected Hours of Work

This is a full-time position; the working hours of the Employee, in terms of a start and finish time, may not be prescribed due to the nature of the Employees duties under this agreement. The Employee will be expected to work forty-five (45) hours per week.
