We are seeking a Broker Support Specialist to provide operational support to brokers while assisting with mortgage disclosures, appraisal coordination, and loan file accuracy. This entry-level role is ideal for someone with mortgage operations experience who enjoys working in a fast-paced environment and delivering excellent customer service.
The Broker Support Specialist serves as a resource for brokers and internal teams by answering questions, coordinating appraisal activities, preparing and reviewing disclosures, and ensuring loan files remain compliant with company and regulatory requirements.
Key Responsibilities
  • Respond to broker inquiries regarding loan submissions, system access, and company processes.
  • Assist brokers with documentation requirements and loan status updates.
  • Provide basic training and guidance on company systems, products, and procedures.
  • Escalate complex issues to management when appropriate.
  • Work closely with Loan Officers, Account Managers, Processing, and Compliance to resolve portal disclosure-related issues.
  • Assist ordering and monitoring appraisals through approved appraisal management companies (AMCs).
  • Track appraisal status and communicate updates to brokers and internal staff.
  • Coordinate with appraisers and AMCs to help ensure timely completion.
  • Assist with resolving routine appraisal issues and documentation requests.
  • Review loan files for accuracy and completeness.
  • Update and maintain loan information within Encompass.
  • Maintain organized electronic loan documentation.
  • Assist with operational reporting and tracking.
  • Support special projects and process improvement initiatives.

Requirements
  • 1+ years in sales/mortgage industry.
  • Tech-savvy with knowledge of Microsoft Office (Excel, PowerPoint, Word, Outlook).
  • Knowledge of Encompass preferred.
  • Ability to stay organized while working on multiple projects and tasks.
  • Experience with answering/screening calls and appointment scheduling.
  • Exemplify professionalism and business etiquette.
  • Excellent interpersonal and communication skills.
  • Demonstrated ability to effectively train others and communicate clear, concise instructions.
