Job Description

The Executive Admin Assistant will provide high-level administrative support to the executive team, ensuring efficient operation and effective time management. In addition to traditional executive assistant duties.

You will be part of a growing diverse team with highly motivated people in an international set-up, support our Regional Business Unit Leader and manage the day-to-day operations in the office in Foothill Ranch as a first point of contact with a wide variety of administrative tasks like:

Job Responsibilities Include:

  • Manage executive schedule, resolve meeting conflicts, plan and coordinate internal and external meetings, locally and internationally, greet and assist visitors
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Read and analyze incoming emails, submissions, and other correspondence, sort and distribute them as needed.
  • Make travel arrangements & prepare expense reports
  • Help prepare for meetings, write minutes, prepare reports, presentations and data, as well as maintaining files, records, and international correspondence for meetings
  • Produce presentations and briefs
  • Develop and carry out an efficient documentation and filing system
  • Use various software, including word processing, spreadsheets, databases, and presentation software.
  • Assist in the plan and execute special projects and initiatives 
  • General support for the eBike organization: order equipment/office supplies, order catering, support Pcard purchases, support miscellaneous events
Qualifications

Required Qualifications:

  • High School Diploma or GED
  • 5+ years experience as an Administrative assistant or 3+ years Executive support
  • Strong attention to detail, organizational & prioritization skills
  • 1+ years experience with Microsoft Office suite (Outlook, OneNote, PowerPoint, etc.)

Preferred Qualifications:

  • SAP tools
  • Pro-active, independent, exceptional time-management and organizational skills, detail oriented, efficient, dependable, trustworthy, able to prioritize
  • Team-player, who enjoys working with a very diverse team and has a high level of customer-service orientation
  • Accustomed to working in a fast-paced, dynamic, multi-cultural work environment
Additional Information

The U.S. base salary range for this position is $80K to $90K. Within the range, individual pay is determined based on several factors, including, but not limited to, type of degree, work experience and job knowledge, complexity of the role, type of position, job location, etc.
