Booth Manager information

What are some common challenges faced by booth managers during large-scale events, and how can they be addressed?

Booth Managers at large-scale events often encounter challenges such as managing high visitor traffic, ensuring consistent team communication, and addressing last-minute logistical issues. To handle these effectively, it’s important to establish clear roles for team members, maintain open communication channels (such as walkie-talkies or group messaging), and prepare contingency plans for technical or supply-related problems. Staying organized and adaptable helps Booth Managers provide a positive experience for attendees while meeting event goals.

What are the key skills and qualifications needed to thrive as a booth manager, and why are they important?

To thrive as a Booth Manager, you need strong organizational skills, sales acumen, and experience in event management or marketing, often supported by a relevant degree or prior experience in trade shows or exhibitions. Familiarity with point-of-sale (POS) systems, inventory management tools, and customer relationship management (CRM) systems is typically required. Excellent communication, leadership, and problem-solving abilities help you engage customers, coordinate staff, and handle unexpected challenges. These competencies ensure smooth booth operations, maximize sales opportunities, and enhance the overall success of the event.

What is a booth manager?

Booth Managers are responsible for overseeing the operations and management of a booth at events such as trade shows, exhibitions, fairs, or polling stations. Their duties typically include setting up the booth, managing staff, engaging with visitors, and ensuring that the booth runs smoothly throughout the event. Booth Managers are also often in charge of inventory, promotional materials, and reporting on booth activities. Strong organizational and communication skills are essential for this role. They play a key part in representing their organization and maximizing the booth's impact.

What is the difference between Booth Manager vs Event Coordinator?

Job description

About Us:
webAI is pioneering the future of artificial intelligence by establishing the first distributed AI infrastructure dedicated to personalized AI. We recognize the evolving demands of a data-driven society for scalability and flexibility, and we firmly believe that the future of AI lies in distributed processing at the edge, bringing computation closer to the source of data generation. Our mission is to build a future where a company's valuable data and intellectual property remain entirely private, enabling the deployment of large-scale AI models directly on standard consumer hardware without compromising the information embedded within those models. We are developing an end-to-end platform that is secure, scalable, and fully under the control of our users, empowering enterprises with AI that understands their unique business. We are a team driven by truth, ownership, tenacity, and humility, and we seek individuals who resonate with these core values and are passionate about shaping the next generation of AI.
About the Role:
We run events all over the world. Major trade shows, global summits, private dinners, executive experiences. Roughly one a month, with a flagship event every two to three months.
Each one takes real work to pull off. Sponsorship deliverables, booth logistics, venue bookings, contracts, shipping, travel, lead capture. We are hiring an Events Marketing Manager to own all of it. The event calendar is already set and always full; your job is to take each one from kickoff to wrap-up and make it run flawlessly, working directly with our Head of Growth the whole way.
A big part of this job is making sure no booth conversation gets lost. Before, at, and right after each event, you will build the systems that capture who we met and what we talked about, then hand it all off clean to our Salesforce and funnels team. They run the follow-up. You make sure nothing slips before it gets to them.
One thing to know: we are a startup. Everyone here wears a lot of hats, and this role is no different. Events come first, but we need someone who is ready to jump in and help wherever the marketing team needs it. In return, you get real ownership from day one and a team you can grow with fast.
This is a hybrid position based in Austin, TX, with domestic and international travel.
Responsibilities:
  • Own event execution end to end from the moment an event hits the calendar
  • Manage all communication with event organizers and sponsors: deliverables, deadlines, booth placement, exhibitor profiles
  • Book venues for hosted events like happy hours, dinners, and executive gatherings
  • Route contracts through legal and manage vendors, payments, and insurance
  • Run booth logistics: furniture, signage, shipping, setup, teardown
  • Prepare speakers and executives: slides, headshots, bios, AV requirements, all delivered on time
  • Manage registrations, tickets, and team travel
  • Attend events and help run point on site
  • Set up lead capture at every event and get clean lead lists to our funnels team fast
  • Manage swag, collateral, and demo hardware inventory
  • Track budgets and run post-event recaps: results, spend, and what to improve

Qualifications:
  • 3 to 4 years in events or event marketing, ideally including trade shows and executive events
  • Extremely organized. You track everything and follow up before anyone asks
  • A clear, fast communicator who can run dozens of email threads without dropping one
  • Experience building lead capture systems at events. You know how to turn booth conversations into real leads in the pipeline, with a clean process from badge scan to Salesforce
  • B2B tech or startup event experience. You understand events as a GTM channel, not just a production, and you know what a good lead handoff looks like
  • Excited, not just willing, to wear a lot of hats and pitch in across the marketing team. This is a startup, and that is the job. Context switching is your superpower
  • Willing to travel, both domestic and international
  • Hungry to grow. The people who thrive here take on more, fast, and we make room for them to do it

Preferred Skills:
  • Comfortable on camera. We shoot a lot of video at events and around Austin with our founders, and it is a big plus if you can jump in front of the lens and help bring that content to life

We at webAI are committed to living out the core values we have put in place as the foundation on which we operate as a team. We seek individuals who exemplify the following:
  • Truth - Emphasizing transparency and honesty in every interaction and decision.
  • Ownership - Taking full responsibility for one's actions and decisions, demonstrating commitment to the success of our clients.
  • Tenacity - Persisting in the face of challenges and setbacks, continually striving for excellence and improvement.
  • Humility - Maintaining a respectful and learning-oriented mindset, acknowledging the strengths and contributions of others.

Benefits:
  • Competitive salary
  • Comprehensive health, dental, and vision benefits package
  • 401(k) match (U.S.-based employees only)
  • $200/month Health & Wellness stipend
  • Continuing Education support
  • $500/year Function Health subscription (U.S.-based employees only)
  • Free parking for in-office employees
  • Flexible Time Off (FTO)
  • Parental leave for eligible employees
  • Supplemental life insurance
