Bookkeeping Assistant & Marketing Coordinator

Britescape | Seattle, WA Role Type: Part-Time (3 days / week, approx. 24 hours)

Compensation: $25-$30 / hour

Role Overview

Britescape, Fine Gardening & Outdoor Lighting Specialists, is looking for a versatile Bookkeeping Assistant & Marketing Coordinator to support our daily business and growth functions. This hybrid role splits time between keeping our finances meticulous (2 days/week) and driving client engagement through targeted marketing efforts (1 day/week).

On the financial side, you will ensure every transaction is captured accurately in both Aspire and QuickBooks Online, working in tandem with the Business Manager. On the marketing side, you will leverage our CRM and social media channels to keep Britescape top-of-mind with past and current clients.

Key ResponsibilitiesFinancial Assistant & Bookkeeping (Approx. 2 days/week)
  • Accounts Receivable (A/R): Send out customer invoices weekly, manage the collections process via phone/email, and process credit card payments within the Aspire platform.

  • Accounts Payable (A/P): Manage the bill payment cycle for approved expenses, set up new vendors in QBO, and ensure W-9s are collected/filed before payments are issued.

  • Receipt & Email Management: Monitor the accounting inbox daily, capture digital receipts/bills, and enter them into Aspire and QBO.

  • Bank Feed Maintenance: Clear QBO bank feeds regularly, match transactions, and research discrepancies.

  • Month-End Preparation: Track down missing receipts to clear outstanding items, ensuring the Business Manager has a "clean slate" for the monthly close.

  • Administrative Support: Manage the Britescape accounting phone line, handle customer billing inquiries, and resolve payment issues with a professional, "Britescape Way" attitude.  Special projects, as needed.  May involve data entry and/or spreadsheets.

Marketing & Client Engagement (Approx. 1 day/week)
  • CRM Data Mining: Clean and mine past client data within our CRM to identify opportunities for re-engagement and outreach.

  • Email Marketing: Create and dispatch regular email newsletters to former and current clients to showcase recent projects, seasonal garden tips, and updates.

  • Social Media Management: Own our social media presence, including planning, creating, and scheduling weekly posts that highlight our fine gardening and lighting work.

  • General Support: Execute other aligned marketing tasks as assigned to support Britescape’s brand visibility.

Required Qualifications
  • Experience: Minimum 1 year of professional, general bookkeeping experience. Proven experience or a strong interest/aptitude in basic digital marketing, email newsletters, and social media management.

  • Software Proficiency: * Financial: QuickBooks Online and Microsoft Excel.

    • Marketing/CRM: Experience with email marketing platforms (e.g., Mailchimp, Constant Contact) and CRM databases.

  • The Aspire Bonus: Prior experience with Aspire Software is a significant plus.

  • Communication & Soft Skills: Excellent verbal and written English for client-facing collections, customer service, and marketing copywriting.

  • Organization: High attention to detail with the ability to context-shift smoothly between analytical financial tasks and creative marketing tasks.
