Position Summary

The Office Support Specialist is the administrative backbone of Premiere Kubota, responsible for bookkeeping, financial recordkeeping, and general office operations. This role also serves as a customer-facing point of contact, handling inquiries and concerns with professionalism and care. The position reports directly to the General Manager and plays a key role in maintaining the financial accuracy and day-to-day efficiency of the dealership.

Key Responsibilities

Bookkeeping & Financial Management

  • Maintain accurate financial records using bookkeeping software and online spreadsheets.
  • Process accounts payable and receivable, including paying bills, collecting outstanding balances, and paying creditors in a timely manner.
  • Reconcile all accounts on a regular basis to ensure accuracy and identify discrepancies.
  • Prepare financial statements, income and expenditure reports, and accounting summaries for management review.
  • Draw up the trial balance and year-end balance sheet.
  • Calculate and assist with tax preparation; stay current on applicable state and federal financial regulations.
  • Assist with audit preparation and provide supporting documentation as needed.
  • Maintain and secure all financial records, both current and historical, in an organized and confidential manner.
  • Manage the petty cash fund, including tracking disbursements and replenishment.

Office Operations & Customer Service

  • Process sales invoices, receipts, and returns accurately and in a timely manner.
  • Handle customer inquiries and complaints promptly and professionally, representing Premiere Kubota in a positive, caring manner.
  • Maintain customer confidence by keeping service and financial information appropriately confidential.
  • Order and maintain office supplies inventory.
  • Maintain a clean, organized, and professional work area.
  • Participate in ongoing training and professional development to stay current with relevant tools, regulations, and best practices.
Required Qualifications
  • High School Diploma or equivalent; associates degree in accounting, business, or a related field preferred.
  • 2+ years of experience in bookkeeping, office administration, or a similar role.
  • Proficiency with bookkeeping or accounting software (QuickBooks or similar).
  • Strong working knowledge of Microsoft Office Suite, particularly Excel.
  • Solid understanding of basic accounting principles and financial recordkeeping.
  • High degree of accuracy, attention to detail, and organizational ability.
  • Strong interpersonal and communication skills with a customer-first attitude.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Preferred Qualifications
  • Experience with Aspen software.
  • Prior experience in a dealership, agricultural, or equipment industry setting.
