Position Overview
Digital Booking Coordinators are responsible for supporting and monitoring freight booked through Circle's automated and AI-driven workflows. This role focuses on verifying carriers, tracking shipment activity, resolving operational issues, and maintaining communication between carriers, customers, account managers, and internal departments.
Digital Booking Coordinators work closely with the Automation and Carrier Sales teams to improve operational efficiency and help develop new AI use cases throughout the organization. AI use cases are operational tasks or workflows where automation and artificial intelligence are used to reduce manual work, improve accuracy, and increase efficiency. Examples include automated freight booking, shipment tracking, and carrier communication
This role is designed for individuals interested in logistics, operations, and technology, while providing hands-on experience with the future of AI-driven transportation management.

Primary Responsibilities
Monitor and manage shipments booked through automated systems and AI workflows.
Verify carrier information, compliance, and shipment details prior to dispatch.
Track shipment activity and ensure timely pickup and delivery.
Communicate effectively with carriers, customers, account managers, and internal departments regarding shipment updates or service issues.
Resolve transportation and operational issues with urgency and professionalism.
Audit current AI workflows and identify operational gaps, recurring issues, and opportunities for improvement.
Assist in developing and expanding AI use cases based on day-to-day operational experience.
Provide feedback and recommendations to the Automation and Carrier Sales teams regarding future AI features and process improvements.
Maintain accurate shipment notes, tracking updates, and operational documentation.
Escalate service failures and operational concerns in accordance with Circle Logistics Escalation Policy.
Support no-fail service standards for all assigned shipments.
Manage workload efficiently while handling multiple active shipments simultaneously.
Communicate load updates internally to the proper parties including Operations Representatives, Account Managers, and Client Strategy Managers as required.
Assist with testing and validating new automation processes and workflow improvements.
All other duties as assigned.

Qualifications

Experience and Education Requirements
High School diploma, GED or equivalent experience required.
Previous logistics, transportation, customer service, or operations experience preferred but not required.
Proficient in Google Drive and Excel.
Comfortable learning and working with technology, automation tools, and operational systems.
Skills/Aptitude
Excellent verbal communication skills.
Ability to thrive in a fast-paced working environment and multitask effectively.
Strong attention to detail and organization.
Strong customer service and problem-solving skills.
Ability to work independently while managing multiple responsibilities.
Ability to adapt to new technology and evolving operational processes.
Excellent time management skills and dependability.
Ability to manage up to two dozen active shipments at one time.
Physical Requirements
Close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus, with or without corrective lenses.
Significant walking or other means of mobility.
Ability to work in a seated position for long periods of time (up to 8 hours).
Ability to reach, bend, stoop, push and/or pull, and frequently lift up to 35 pounds and occasionally lift/move 40 pounds.
Working Conditions (may add additional conditions specific to defined work location)
Generally in an indoor office setting; may include occasional participation in outdoor company events.
Varying schedule to include evenings, holidays, weekends and extended hours as business dictates.
While performing duties of this job, the employee is primarily in a controlled, temperate environment; however, may be exposed to heat/cold during support of outside activities.
The noise level in the work environment is usually moderate to loud.
