BMW Warranty Administrator

Location: Houston, TX


Description


We are seeking a BMW Warranty Administrator to ensure the accuracy, compliance, and efficiency of all warranty-related processes. This role is responsible for managing the complete warranty lifecycle โ€” from repair order booking to claim submission, reconciliation, and reporting โ€” in strict accordance with BMW North America and company policies.


The ideal candidate is highly organized, detail-oriented, and excels in a fast-paced environment. This is a vital position that supports dealership operations and maintains manufacturer compliance across multiple departments.


Key Responsibilities

  • Review and book repair orders in compliance of BMW Policy and Procedure
  • Processes all warranty claims promptly and with accuracy
  • Processes all warranty paperwork to ensure proper documentation
  • Verifies criteria required by manufacturer
  • Reconciles all warranty receivables with payments through the appropriate accounting schedule
  • Posts credits
  • Resubmits all rejected claims promptly or receives authorization to write them off
  • Review all warranty receivable schedules to ensure payment within 30 days
  • Follows up on payment of outstanding claims
  • Files and maintains all service records as required by the warrantor
  • Keeps informed of all factory recalls and bulletins
  • Assists with any clerical needs as directed by the fixed operations manager or the controller
  • Maintains a professional appearance and a neat work area
  • Performs other duties as assigned
Requirements:

Qualifications

  • Minimum 3 years of warranty administration experience in a dealership environment
  • BMW experience is strongly preferred
  • Proficiency with CDK and Ibizi systems
  • Strong knowledge of manufacturer warranty policies, procedures, and audit requirements
  • High attention to detail with the ability to manage multiple priorities and deadlines
  • Excellent communication, organization, and documentation skills
  • Proficiency in Microsoft Word, Excel, and Outlook
