This is a Hybrid role with 3 days a week in office.

This role is located in either New York City or downtown Chicago.

We're seeking a detail-oriented and proactive Billing Specialist to join our dynamic team. This role is pivotal in ensuring accurate and timely billing for assigned client accounts. You'll collaborate closely with internal departments-including Account Management, Business Affairs, Project Managers, and Finance-to streamline billing operations and uphold client satisfaction.

Responsibilities
  • Act as the primary billing liaison between internal teams, clients, and finance teams
  • Process new job requests for assigned client accounts with accuracy and efficiency
  • Review client scopes of work to ensure alignment with billing requirements
  • Verify receipt of client purchase orders and confirm consistency with statements of work (SOW)
  • Ensure all jobs are billed accurately and within designated timelines
  • Execute billing processes per client specifications and provide clear direction to internal resources for submission
  • Interpret and utilize billing reports to support financial accuracy and transparency
  • Close completed jobs in accordance with internal procedures and client requirements

Collaborate with account teams to address billing-related needs, including:

  • Job transfers and reallocations
  • Draft invoice creation, review, and approval workflows
  • Write-offs and billing adjustments
  • Proof of performance documentation
  • Out-of-pocket (OOP) expense backup and reconciliation
  • Client Purchase Orders
Qualifications

Required Skills & Qualifications: 

  • 2+ years of billing, accounting, or finance experience (marketing or agency experience a plus)
  • Strong analytical and problem-solving skills
  • Excellent organizational and time-management abilities
  • Proficient in Microsoft Word, Excel, Outlook
  • Exceptional communication skills-able to explain billing details clearly and professionally
  • Ability to prioritize tasks and manage multiple deadlines
  • High level of accuracy and attention to detail

Preferred Qualifications:

  • Experience in a marketing, advertising, or media agency environment
  • Experience with SAP
  • Familiarity with project-based billing and retainer models
  • Knowledge of revenue recognition principles
