Job description

We are partnering with a well-established commercial construction contractor to add a Construction Billing Specialist to its accounting and finance team.
This position plays a critical role in supporting project billing operations, cash flow management, and customer satisfaction. The ideal candidate will have experience with construction billing, AIA invoicing, retainage tracking, and collaborating with project managers to ensure accurate and timely billing throughout the project lifecycle.
This is a full-time onsite position located in Portland, Oregon.
Responsibilities
- Prepare and process AIA and progress billings for commercial construction projects
- Generate accurate invoices in accordance with contract terms, schedules of values, and project requirements
- Track and manage retainage, change orders, lien waivers, and supporting billing documentation
- Review project costs and coordinate with project managers to ensure billing accuracy
- Monitor accounts receivable and assist with collection efforts on outstanding invoices
- Research and resolve billing discrepancies, customer questions, and payment issues
- Maintain billing records and ensure compliance with company policies and customer requirements
- Assist with month-end close activities related to project billing and accounts receivable
- Collaborate with project managers, accounting staff, customers, and subcontractors to support project success
- Identify opportunities to improve billing processes, workflows, and efficiency
Qualifications
- Years of construction billing, project accounting, accounts receivable, or related experience
- Experience with AIA billing, progress billing, retainage, lien waivers, and change orders preferred
- Understanding of construction contracts, project billing cycles, and job costing
- Experience working within commercial construction, mechanical contracting, sheet metal, HVAC, electrical, plumbing, or related industries preferred
- Strong attention to detail and ability to manage multiple projects simultaneously
- Excellent organizational, communication, and customer service skills
- Proficiency with Microsoft Excel and accounting software
- Experience with Sage 300 CRE, Adobe Pro, or similar construction software is highly desirable
- Associate's or Bachelor's degree in Accounting, Finance, Business, or related field preferred
