Job description

Under general supervision, the Billing Assistant is responsible for assisting billing coordinators, attorneys, and other non-legal staff with complex billing assignments and related billing inquiries. Responsibilities include preparation of client invoices, invoice processing, data maintenance and related administrative duties.
Responsibilities
  • Assist Billing Coordinators with creating, editing, and processing high volume of invoices in a timely manner.
  • Review invoices for misallocated time and ensure time entries are in accordance with client guidelines.
  • Edit draft invoices based on partner mark-up, including: time entry narrative changes, fee/cost transfers, splitting entries, unblocking entries, on-account applications, and write-offs in accordance with firm policy.
  • Assist Billing Coordinators with the filing of bill packages in accordance with department policy.
  • Attend meetings with Billing Managers, Billing Coordinators, and/or Partners to discuss monthly billing strategy and outstanding invoices.
  • Maintain and update special instructions and internal comments related to billing attorneys' clients and matters.
  • Assist with electronic invoice submissions by submitting e-bills via eBillingHub and/or the client's designated e-billing website.
  • Assist with identifying e-billing issues; work to resolve e-bill rejections and short payments.
  • Provide department-wide administrative support as needed (ie. filing, providing client invoice copies, pulling expense back up, etc.). Respond to inquiries and requests for information made by attorneys, secretaries, legal and non-legal staff using effective communication skills, both oral and written, in a timely manner.
  • Actively seek to enhance knowledge of all billing related processes and procedures.
  • Use sound judgement when approaching problems and making decisions.
  • Observe confidentiality of client and firm matters.
  • Assist with special projects.
  • Flexibility to work additional hours as needed.
  • Perform other duties as assigned.

Required Skills
  • Strong communication skills, both written and oral
  • Ability to effectively present information verbally and in writing
  • Basic math skills: add, subtract, multiply, divide, percentage calculations, etc.
  • Knowledge of Microsoft Office Suite, with the ability to learn new software and operating systems.

Salary Information
NY Only: The estimated base salary range for this position is $65,000 to $75,000 at the time of posting.
The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning it is overtime pay eligible.
