Job description

Overview of the Role

We are seeking a detail-oriented and organized Billing Specialist focused on New Construction to join our Accounting & Finance team. In this role, you will be the primary point of contact for managing complex billing cycles associated with new construction projects. You will ensure that all contract billing is accurate, progress payments are tracked meticulously, and financial milestones are met. Your work will directly impact our cash flow and project transparency, supporting Groove’s mission to deliver top-tier hospitality technology solutions.

What You’ll Do
  • Manage and oversee the end-to-end billing process for construction contracts, ensuring adherence to specific project terms and schedules.
  • Oversee the inflow of new construction projects including Schedule of Values to set up billing accurately and effectively to kickstart the project
  • Prepare and submit accurate draw requests and progress billings based on project milestones and completion percentages.
  • Coordinate the collection and filing of lien waivers and other required compliance documentation for subcontractors and vendors.
  • Prepare customer required reporting and documentation such as lien releases, certified payroll reporting, etc.
  • Work closely with Project Managers to review project status and ensure billing reflects actual work completed.
  • Monitor accounts receivable aging for construction projects and proactively follow up on outstanding progress payments.
What You Bring
  • Must Haves:
    • 3+ years of experience in Accounts Receivable or Billing.
    • Proven experience with construction contracts and project-based billing workflows.
    • Advanced proficiency in Microsoft Excel and experience with accounting/ERP software.
    • Experience with Procore and other customer billing software
    • Strong attention to detail and ability to handle high-volume, technical documentation.
  • Nice-to-Have
    • Experience with AIA billing (G702/G703) and progress payment applications.
    • Familiarity with construction management software or specialized construction ERP platforms.
