Position Summary: Roy Jorgensen Associates, Inc. is currently seeking a full-time Bilingual Project Coordinator in Miami, FL. This position is an intermediate administrative role with the company. The Project Coordinator will be directly responsible for the administration of the JAMMS and JDE system The service request and work order system is the central hub of our field operations and it is critical that the system be managed properly daily. Responsibilities include interacting with visitors, data entry, answering phone calls, assigning work orders, scheduling work orders, creating production and scheduling reports for field operations, preparing client reports, keeping all data current and accurate and other advanced roles including Third-Party Claims processing.
Major Functions of the Job:

  • Administer and maintain in-house database management system (JAMMS and JDE) including but not limited to work order management, HCM module management, querying reports, review of customer service requests, etc.
  • Responsible for completing RACI duties and KPI's.
  • Answer, screen, and direct all incoming communications.
  • Replenishes/maintain office and shop inventory as directed.
  • Create and modify documents using Microsoft Office products.
  • Perform general clerical duties: photocopying, faxing, mailing, filing, and manage voice mail system.
  • Maintain an effective medium of communication and close collaboration among clients and team members in the organization.
  • Apply customer service focus to all job duties.
  • Support project scheduling.
 

Minor Functions of the Job:

  • Participate in weekly administrative meetings and required training.
  • Be a dependable, reliable, and highly organized member of the team with business maturity, discretion, enthusiasm, and positive attitude.
  • Show initiative; seek out work and get the job done without being told.
  • Perform a series of administrative functions and provide additional services to ensure a neat and presentable work areas.
  • Provide assistance to other team members as necessary.
 

Physical Requirements and Environmental Factors:

  • Moderate lifting; up to 20 pounds
  • Dexterity to write and manipulate computer keyboard, mouse, and phone
  • Ability to hear and speak clearly
  • Ability to sit for extended periods of time
 

Qualifications:

  • High School Diploma or GED; some college courses preferred, but not required
  • Bilingual in Spanish 
  • Maintain company standards for background checks (i.e. criminal record, driving record and controlled substance/drug testing)
  • Neat, clean and presentable appearance
  • Knowledge of general administrative activities
  • Knowledge of misc. phone and messaging systems
  • Knowledge of Microsoft Office software
  • Solid organizational planning
  • Proper phone technique and protocol
  • Excellent verbal and written skills
  • Knowledge of computer and keyboard system
  • Ability to adapt and champion accelerated company initiatives
  • Ability to establish priorities and manage workload
  • Neat and legible handwriting skill
  • Ability to perform basic math skills, including calculations using fractions, percents, and/or ratios
  • Ability to read and understand manuals, write documents following prescribed formats
  • Ability to understand multi-step written and oral instructions
  • Self-starter who can work independently and can meet changing deadlines

Salary: $25.00- $27.00/hr compensation is depending on candidate experience and certifications.
