Job description

Premier World Chemicals is seeking a proactive, highly organized, and bilingual Executive Office Manager to oversee day-to-day business operations, financial record-keeping, and end-to-end domestic and international order processing from our Charlotte, NC location.

The preference for this role is a local candidate within commuting distance of Charlotte, NC with potential for higher remote flexibility as you build autonomy while serving as a key operational partner to the Company President. You will manage customer relationships, coordinate domestic and overseas shipping, handle monthly accounting reconciliations, and run primary business operations independently—especially during executive travel.

Key Responsibilities

1. Financial Administration & Accounting

  • Maintain accurate accounting records in Xero (reconciling accounts, managing accounts receivable/payable, and assisting with collections).
  • Prepare monthly Sales & Use Tax statements across multiple states.
  • Track, account for, and reconcile monthly commission agent payouts, sales statements, and principal commissions.
  • Generate and send monthly customer account statements.

2. Customer Service & Client Relations

  • Serve as the primary point of contact for clients, vendors, and overseas principals via phone, email, and messaging platforms.
  • Distribute technical materials and coordinate sample preparation/dispatch with suppliers.
  • Build and maintain strong multi-level relationships with global suppliers and customers.

3. Order Management & Logistics

  • Process direct customer orders from intake to final delivery using Xero.
  • Generate and issue Proforma Invoices (Order Acknowledgements) detailing product pricing, freight estimates (FOB, CIF, DAP), estimated shipping dates, and custom packaging instructions.
  • Issue Purchase Orders to suppliers, verifying lead times, special handling (e.g., drum sizes, heat-treated pallets), and critical documentation (SDS, Certificate of Analysis).
  • Coordinate directly with freight forwarders; prepare commercial invoices, packing lists, and export documents (Certificates of Origin, Bills of Lading, Certificates of Insurance).
  • Rigorously follow up on all shipments in transit—both domestic and international—ensuring on-time foreign port arrival.


4. Executive Support & Business Growth

  • Direct daily operations independently when the President is traveling (approx. 10 days/month).
  • Assist with market development, soliciting orders from international clients, and driving account growth.
  • Maintain digital presence by updating company website and social channels as needed.

Qualifications

Required:

  • Bilingual: Professional fluency in both English and Spanish (written and verbal).
  • Education: Bachelor’s Degree (BA/BS).
  • Software: Experience with cloud accounting platforms (Xero preferred; QuickBooks or similar acceptable).
  • Location: Based in or near Charlotte, NC for on-site or hybrid presence.
  • Work Style: Self-starter capable of operating autonomously with minimal supervision.
  • Flexibility: Adaptable working hours to coordinate across global time zones as required.

Preferred:

  • Direct background in international shipping, freight forwarding, and export documentation.
