About the Role:
We're looking for an Administrative Support professional who brings strong organizational skills, careful attention to detail, and a commitment to keeping client service operations running smoothly. In this role, you'll manage the daily flow of correspondence and documentation across email, fax, web submissions, document uploads, and physical mail, ensuring information is accurately reviewed, indexed, routed, and maintained. You'll partner closely with the International Client Services team to safeguard important records, identify and escalate urgent or sensitive requests, and provide the reliable behind-the-scenes support that helps us deliver timely, high-quality service to policyholders and financial professionals around the world.
What You'll Do:
Keep Client Operations Running Smoothly
  • Manage the daily flow of international correspondence by receiving, reviewing, routing, and processing documents received through mail, email, fax, web submissions, and document uploads.
  • Ensure policyholder and financial professional requests are accurately indexed, tracked, and delivered to the appropriate teams for timely processing.

Support Accurate Records Management
  • Process and maintain customer records using company systems, ensuring documentation is complete, organized, and accurately retained in accordance with company policies.
  • Receive, log, and safeguard important documents, including financial transactions and customer correspondence, while maintaining appropriate chain-of-custody procedures.

Provide Bilingual Administrative Support
  • Communicate professionally with internal and external customers in both English and Spanish to support departmental operations and facilitate timely resolution of service requests.
  • Partner with teammates to ensure information is accurately communicated and administrative processes are completed efficiently.

Protect the Integrity of Our Operations
  • Exercise sound judgment by identifying urgent, sensitive, or potentially fraudulent items and escalating them through the appropriate channels.
  • Help maintain secure, compliant administrative processes by following established procedures and supporting accurate record retention.

Support Department Operations
  • Maintain office supplies, monitor inventory levels, and ensure department equipment and resources are ready to support daily operations.
  • Assist with departmental administrative activities that contribute to an organized, efficient, and productive work environment.

Collaborate and Continuously Improve
  • Partner with the International Client Services team to identify opportunities to improve workflows, enhance operational efficiency, and support exceptional service delivery.
