Estimating Assistant - Innovative Design Build

About the Role:



As our Estimating Assistant, you'll play a key role in supporting our Estimator from ballpark pricing all the way through bid day and project turnover. You'll work closely with our Estimator and coordinate with subcontractors and vendors. This is a hands-on, detail-heavy role where your accuracy and follow-through directly shape how well our projects come together.



What You'll Do:



  • Prepare square footage takeoff sheets and material quantity estimates to support ballpark estimating
  • Research and contact vendors directly for ballpark pricing
  • Complete quantity takeoffs from construction plans across all trades: plumbing, electrical, hardwoods, tile, countertops, glass, and more
  • Prepare and organize bid day packets, send trade invitations and reminders, and coordinate trade walk-throughs
  • Escort subcontractors through projects and answer basic questions about plans and scope
  • Build and manage Buildertrend bid packages, enter bids, create purchase orders, and follow up with trades on deposits and invoicing
  • Enter final estimates into Buildertrend and QuickBooks once contracts are signed, and create milestone invoices for clients
  • Support trade and vendor relations, including scheduling annual meetings, new partner interviews, and onboarding



What We're Looking For:



  • Attention to Detail: A naturally high level of accuracy: you notice small errors and inconsistencies before they become problems
  • Good with numbers, calculations and have the ability to use and create formulas in Google Sheets
  • Persistence: Comfortable following up repeatedly and asking direct questions to keep things moving
  • Bilingual: Fluent enough in Spanish to communicate clearly with subcontractors and field personnel
  • Organization: Able to juggle multiple open items, deadlines, and follow-ups at once
  • Sense of Urgency: You move quickly when something needs to get done and take ownership of keeping it moving
  • Communication: Clear, confident, and direct while staying professional and easy to work with
  • Team Orientation: Comfortable in a support role, helping the Estimator and the broader team succeed
  • Coachability: Open to direct feedback and willing to adjust and improve



Requirements:



  • High School Diploma
  • Reliable Transportation



Compensation & Benefits:



  • Salary: $40,000 to $45,000 annually, based on experience
  • Health Coverage: Medical, dental, and vision insurance (eligible after 90 days)
  • Retirement: Simple IRA with a dollar-for-dollar match up to 3% (eligible after 1 year)

Local Travel:


This role includes attending trade walk-throughs and occasional offsite meetings with vendors and subcontractors to ensure every bid and project detail comes together as planned.
