Job description

Position Purpose:

The purpose of the Administrative Assistant position is to support the Senior Executive Assistant to the Executive Vice Presidents in managing the daily administrative tasks of the office to ensure all operations are executed smoothly, efficiently, and with professionalism. The position requires living near Woodland Park, CO, with daily onsite work. Occasional evening and weekend hours may be required. The Administrative Assistant's responsibilities vary based on organizational needs and include ensuring tasks and projects are completed efficiently, confidentially, accurately, and positively.

Essential Duties:

  • Assist colleagues with shared duties.
  • Open, sort, and distribute incoming correspondence, including mail and emails.
  • Meeting management, including preparing agendas, administering digital meeting rooms, printing reports, taking notes, distributing action items, and arranging catering.
  • Varying personal tasks, including, but not limited to, booking appointments, running errands, online ordering, etc.
  • Schedule, coordinate, and direct special lunches for guests in the office, for meetings, and for conferences and events.
  • Coordinate maintenance of office equipment.
  • Maintain and organize files, both electronic and hard copy.
  • Assist in special projects as requested to achieve overall Ministry objectives.
  • Update the senior executive calendar for events and travel dates.
  • Resolve administrative problems and inquiries.
  • Create event itineraries, book flights, car rentals, and hotels, along with other travel arrangements and scheduling.
  • Post church meetings, livestreams, international events, and speaking engagements on SharePoint.
  • Oversee product ordering and inventory.
  • Ensure offices are stocked with snacks, drinks, and office supplies.
  • Assist with credit card statements, charge approvals, invoice entry, and check runs.
  • Submit payment requests as needed.
  • Add Creative Performance schedules to the calendar.
  • Christmas cards, flowers, and gift ordering as needed.
  • Professional communication and follow-up with individuals, including general inquiries and responses, writing thank you cards, and email correspondence.
  • Other duties and special projects as assigned.

  • Excellent computer skills and proficiency in Excel, Word, Outlook, PowerPoint, and Smartsheet or other project management software.
  • High comfort level working in a fast-paced environment.
  • High level of organization, flexibility, resourcefulness, efficiency, and a professional demeanor in the challenges presented.
  • Strong attention to detail, excellent follow-up skills, problem-solving, and analytical skills.

Requirements:

  • Must have a personal relationship with Jesus Christ.
  • Must sign the Statement of Faith.
  • A high school diploma or equivalent education is required.
  • A Charis Bible College graduate is preferred.
  • Ability to travel between AWM HQ and Charis Bible College locations in Woodland Park, CO.
  • Must be dependable and punctual.
  • Type 60 wpm with at least 90% accuracy required.
  • Must pass all required checks.
  • Experience:

  • Minimum experience of 1-2 years in an administrative role or equivalent
  • Compensation is commensurate with experience.
