Office Manager

We’re looking for a committed and proactive Office Manager who is dedicated to patient-centered care and recovery. With us, you’ll play a critical role in promoting a well-organized and supportive environment, maintaining accurate patient and financial records, and managing the administrative support team. Schedule: 5am - 1:30pm (Monday - Friday) / Rotating Saturdays (6am - 9am)

Pay: $25.00 - $30.00/hour with Bonus Structure

What You’ll Do

Provide Care

  • Help ensure every patient begins and completes their treatment journey with a positive, compassionate experience by supporting intake, scheduling, and discharge processes.
  • Coordinate patient appointments with medical staff to promote timely access to care.
  • Develop staff schedules and coordinate daily workflow to keep operations running efficiently.
  • Ensure compliance with all regulatory, accreditation, and organizational standards.

Manage Documentation and Inventory

  • Safeguard the accuracy of patient identification, financial records, and fee collection processes to maintain trust.
  • Assist patients with insurance documentation to help reduce barriers to treatment.
  • Prepare bank deposits, complete accounting responsibilities, and submit timely operational reports that support informed decision-making.
  • Manage office supplies, reception operations, and daily administrative needs to create an organized environment for patients and staff.

Team Building

  • Lead, mentor, and support the administrative team in delivering exceptional service to patients and colleagues.
  • Recruit, train, coach, and evaluate administrative staff while fostering accountability, collaboration, and professional growth.
    Required Qualifications
    • High school diploma or equivalent.
    • 3 years of general office experience or 1 year of office management experience.
    • Must hold and maintain a valid driver’s license
    Preferred Qualifications
    • Strong leadership, communication, and customer service skills.
    • Basic accounting and data entry proficiency.
    • Knowledge of confidentiality requirements and information release protocols.
    • Ability to work independently, prioritize tasks, and manage multiple responsibilities in a fast-paced environment.
    Physical Requirements and Working Conditions
    • Fast-paced clinical environment with period of increased activity.
    • Exposure to patients with substance use disorders, mental health conditions, infectious diseases, and criminal justice involvement.
    • Prolonged standing, bending, and stooping.
    • Alternating between sitting and standing throughout the workday.
    • Potential exposure to bloodborne pathogens.
    • Use of appropriate personal protective equipment (PPE) when required.
    • Frequent keyboarding and computer use.
