Summary:
Provides administrative support to the OBGYN department and management team. Handles confidential information and uses discretion in dealing with internal and external contacts. Duties include a wide variety of duties, tasks, and projects that reduce the attention the management team must give to administrative and office operation details.

Responsibilities:

Meeting scheduling & calendar planning, which involves the management of various Weekly & Monthly Leadership meetings: solicit agenda items, agenda preparation, distribute agendas, attend meetings, take minutes & distribute minutes in a timely manner. 

MyTime Authorization/support for management team on a bi-weekly basis and monitor staff PTO requests to alert managers of requests & need for approval 

Submit monthly mileage expense reports for the managers, as well as periodic expense reports for Employee Recognition or Appreciation, such as recent Valentine's Day Treat. 

Assist all managers with recruitment - conducting phone screens and setting up interviews for candidates, as well as assisting in hiring for excellence behavioral interviews - HFE training required. 

Assist Director in reminding staff of upcoming deadlines, additional requests that have been added such as new Safety & Security training modules and collate critical float pool requests on a monthly basis. 

Assist with the updating & revision of all department protocols including Standing Orders, Scopes of Service, and various Human Resource documents. 

Org Chart management - Create and actively maintain all the individual clinic org charts for the multiple Outpatient clinics that Director manages. These org charts include all the clinical staff as well as all the administrative staff. 

Maintain various Listservs for the Outpatient OBGYN department. With the amount of turnover, the Listservs and Org Chart Management are duties that require constant attention to detail. 

Creation and distribution of the OBGYN Outpatient Newsletter - collect information from staff, organize the information & photos into a word document, and send it to the Communications Director. Once the Communications Director creates the newsletter and it has been proofed and approved by the Director, distribute it to staff. 

Safety and Security Plans for each clinic - Work with Director to monitor that all managers and staff representatives have met their Safety & Security training requirements. 

Downtime Binders for BCA (Business Continuity Access) Organization - Responsible for making staff aware of when new downtime procedures or reports have changed. When forms change, collate and distribute these forms to managers so that they can update their Downtime Binders. The goal is to ensure that all clinics are better prepared to access information & document patient care during an unexpected EPIC downtime. 

Assist with maintaining Personnel Files. Keep managers informed of the necessary items needed in their Personnel Files. 

Helps the Director to collate monthly KPI data into PowerPoint presentation. 

Attend Carolina Care committee and champions meetings to assist with rolling out initiatives & submit i-rounds for the managers 

Assist with QI and safety initiatives 

Participates in system wide initiatives to improve efficiency and reach institutional goals and objectives. 

Provides support functions such as purchasing training materials and systems, maintaining training records, and making logistical arrangements. 

Use confidentiality when dealing with employees and customers. Expected to safeguard confidential information and only use or disclose it as expressly authorized or specifically required in the course of performing their specific job duties.

Bachelor's degree in an appropriate discipline (or equivalent combination of education, training and experience).
Licensure/Certification Requirements:
No licensure or certification required.
Professional Experience Requirements:
If a Bachelor's degree: Two (2) years of administrative support experience.
If an Associate's degree: Six (6) years of administrative support experience.
If a High School diploma or GED: Ten (10) years of administrative support experience.
