Job Description
The Paralegal/Assistant, North America provides legal, organizational, administrative, and project support to members of our Americas Legal team. This person will perform complex legal/secretarial/administrative duties, which involve contact and exposure with all levels of management and outside counsel. Support will include legal matters of varying levels of risk, necessitating the highest level of diplomacy, confidentiality, discretion, and judgment. Must be highly multitasked to meet compressed timelines and able to work long and flexible hours during special projects. Must be self-motivated, able to handle detailed projects independently, willing to learn, able to take on special projects and be good at problem solving.
Major/Key Accountabilities
  • Performs various legal administrative functions executing processes designed to manage legal risk. Examples include executing our legal hold process, processing settlement agreements, preparing legal correspondence, supporting litigation discovery and case preparation, maintaining calendars and schedules, making meeting arrangements, interacting with managers, internal and external counsel, court staff and law enforcement officials;
  • With support from internal and external legal, preparing and completing legal documents and filings for routine matters such as bankruptcy, subpoenas, garnishments, and others as needed.
  • Manages legal matters in Company's billing and matter management systems;
  • Manages invoice processing;
  • Handles copying, faxing, general mail/correspondence and monitoring of the Legal email box for the Americas;
  • Creates quality presentation materials, reviews and appropriately edits presentations, coordinates the development of materials and works effectively with appropriate individuals and conducts follow-up for various projects and ongoing tasks and responsibilities;
  • Adheres to demanding timelines, maintains communication with other departments/individuals, external counsel and conducts follow-up for various projects and ongoing tasks and responsibilities;
  • Manages internal and external requests and works closely with all departments, as appropriate, to ensure excellent communication, follow-up, and the delivery of quality work to internal and external clients;
  • Assists in the achievement of overall corporate goals and objectives by working with management and other departments on special project;
  • Additional requirements include high level of proficiency with technology including Microsoft Office Suite applications, Coupa, Brightflag and internet research tools; and
  • Performs other duties as necessary to meet corporate objectives.

Desirable Qualifications

  • Filing documents (correspondence, notes, drafts, discovery, pleadings, etc.)
  • Organizing files and documents
  • Creating and maintaining hard copy files when necessary
  • Calendaring events upon request
  • Drafting routine correspondence
  • Drafting engagement letters
  • Regular (weekly) meeting with Americas Legal team members regarding upcoming tasks, events, deadlines and following up on status of pending tasks
  • Reviewing documents for information and/or privilege
  • Preparing reports based on review of documents and other research.
  • Assisting with preparation of legal filings

Experience
  • College degree is desirable or 8+ years previous Legal/Administrative Assistant experience
  • Complete and solid knowledge of MS Office, i.e., Word, Excel, PowerPoint, and Outlook
