Bilingual Executive Administrative Assistant / Receptionist

A well established financial services firm is seeking a motivated, resourceful, and professional Bilingual Executive Administrative Assistant/Receptionist to join our team. This is a full-time, in-office position ideal for someone who is organized, dependable, and comfortable communicating with clients in both English and Spanish.

Key Responsibilities

  • Welcome clients and manage the front reception area
  • Answer phone calls, respond to messages, and schedule appointments
  • Provide administrative support to executives and financial professionals
  • Prepare, organize, scan, and maintain confidential client documents
  • Follow up with clients regarding appointments and required documents
  • Assist with correspondence, data entry, filing, and general office operations
  • Provide notary services as needed
  • Help coordinate occasional seminars and client events
  • Maintain professionalism and confidentiality at all times

Qualifications

  • Bilingual in English and Spanish
  • Strong communication, organization, and customer-service skills
  • Motivated, resourceful, dependable, and able to take initiative
  • Comfortable working independently and managing multiple priorities
  • Professional appearance and positive attitude
  • Basic knowledge of Microsoft Office, email, and office equipment
  • Prior receptionist, executive assistant, or administrative experience preferred
