About The Role

POSITION SUMMARY

The Loan Assistant - Team Lead will be in a customer-facing support position, assisting Commercial Loan Officers with the loan origination and renewal process, primarily during the pre-approval stage of the loan process. They will directly contact loan applicants as needed or as directed to assist Commercial Loan Officers with processing loan requests and will provide customer service support for existing loan clients' questions and inquiries.

ESSENTIAL JOB DUTIES AND REPONSIBILITIES

  • Indirectly supervises the team of Loan Assistants and actively acts to complete Loan Assistant duties as needed.
  • Coordinates frequently with Sr. Commercial Loan Officer - Team Lead Production - to best manage workflow and prioritize commercial loan pipeline workflow.
  • Communicates directly with Commercial Loan Officers for feedback regarding responsiveness of Loan Assistants to complete tasks.
  • Review Loan Assistants team assignments and verify tasks are being completed as assigned.
  • Take initiative to follow up directly with Commercial Loan Officers regularly and initiate contact with loan applications to resolve issues and obtain follow up documentation during loan process.
  • Assists with administration of Loan Officer Loan Committee (LOLC) minutes and loan approvals and other lending department administrative tasks as needed.
  • Input loan data into loan system for Commercial Loan Officers that provide term sheets and complete transmittal instructions to complete loan information in the nCino system.
  • Coordinate with branch teams on Customer Information File (CIF) generation.
  • Review entity and trust documentation as second set of eyes to confirm signers and guarantors
  • Coordinating and ordering third party reports and tracking for receipt, uploading reports into the loan system for Commercial Loan Officer review. Commercial Loan Officer will provide contacts for outside third-party reports, appraisal and environments will be engaged by Loan Assistant with Credit team. Reports include:
    • Appraisals
    • Environmental Reports
    • UCC Searches
    • Flood Searches
      • Notify Commercial Loan Officers of flood determination review upon receipt and track for timely receipt of signed determination from customer when required.
    • Preliminary Title Report
  • Request of pertinent insurance certificates including flood insurance certs if required. Commercial Loan Officer to provide contact information to lending assistant to coordinate for insurance.
  • Review of loan codes and compliance items through loan stages of qualification through approval. Completion of Smart Checklist items as loan files move through loan stages to approval.
  • Tracking Reg B timelines and Notices of Incomplete. Coordinating with Commercial Loan Officer on timely completion of Reg B.
  • Reviewing Smart Checklist and loan system for file completion during final review prior to file moving to processing.
  • Assist Commercial Loan Officers with FedEx of customer documents.
  • Notary services for loan document signing (only if the Loan Assistant - Team Lead is a notary -optional).
  • Post closing follow-up with Borrower for Collateral Tracking items (i.e. inked original loan documents, SNDA's, etc.) and coordinate with Loan Support Team Lead to update status and clear items in nCino.
  • The Loan Assistant - Team Lead will coordinate the assigning of files to the Loan Assistants by complexity and capacity of workload.
  • The Loan Assistant - Team Lead will back up the loan operations team during heavy workload times (month and quarter end, vacations, etc.) with booking and may help when directed with doc preparation.
  • Performs other duties as assigned.
  • This is an on-site position and regular and timely attendance is considered an essential function of the role.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

  • High school diploma or equivalent.
  • 5 or more years of experience in commercial and consumer loan policies and procedures and documentation is highly preferred.

  • Ability to multi-task and handle complex tasks efficiently.
  • Strong organizational skills and attention to detail.
  • Ability to work within strict timeframes and meet deadlines.
  • Excellent customer service skills.
  • Good knowledge of basic office equipment.
  • Working knowledge of Word and Excel.
  • Thorough understanding of title reports and proper vesting to ensure lien position is highly preferred.

SUPERVISORY RESPONSIBILITIES

This position has indirect supervisory responsibilities, as it relates to workflow assignments and cross-training of team members, and provides input to manager on annual performance reviews for related team members.

PHYSICAL DEMANDS

Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing / descending stairs in an emergency situation. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of occasionally (less than 10%) travel by automobile (as driver and passenger), commercial airlines, rental vehicles and public transportation and be able to lodge in public facilities. COMPENSATION & BENEFITS: Starting salary is dependent upon relevant experience and may vary based on the geographic location of the position.
